      Location: Farringdon, London and onsite at festivals

      Reports to: Managing Director and Operations Executive

      Working hours: Full-time, including some evenings and weekends

      Contract type: Permanent

      Role Description

      The Promoter's Assistant works as the support function for the managing director and operations of the company. The role is responsible for supporting with the administration and production needs of Soundcrash events as well as liaising with in house ticketing and support teams. This will include handling artist contracting and payments, managing ticketing levels, using internal software systems to set up shows. Some work on site at events is required throughout summer which usually span weekends.

      We are a small and dynamic team made up of a diverse group of individuals who all share the same passion for our events and putting our employees first. We have a fun and open atmosphere within our team which helps us maintain a collaborative environment where we work as a team to achieve a very strong output of successful shows. We work alongside and plug into the Live Nation support teams across ticketing, finance, legal, etc and work out of the Live Nation office which offers a great atmosphere and additional benefits. Please note that like all Live Music companies we experience a very seasonal workload with intense periods during our festival season and a quiet period over Christmas.

      Who you are

      Competencies / Skills / Knowledge / Experience

      • Knowledge and enthusiasm for festival events and concerts
      • Strong experience in a administration role
      • Some experience in a music industry environment, especially agency, venue or promotions would be advantageous
      • Excellent oral and written communication skills
      • Excellent organisational skills with strong attention to detail
      • Skilled in MS Office and computer literate
      • Strong attention to detail

      What the role includes

      • Processing artist/promotion contracts and invoices
      • Managing filing system for all paperwork across shows ensuring all is received and processed in good time
      • Providing admin support for all teams, including general office support including travel arrangements
      • Some show budgeting and gathering venue avails
      • Building and managing show itineraries within Live Nation system
      • Occasional minute taking of key meetings
      • Handing over show information to the assigned show reps
      • Communicating marketing and ticketing teams for on sales and show offers/allocations
      • Answering customer queries on info emails and drafting FAQs
      • Managing the guestlist for shows
      • Processing CoS’s and works permits for international artists
      • Processing Staff expenses via internal systems
      • Applying for insurance for shows
      • Researching previous show sales and tracking new show sales
