      We're in search of a dedicated and detail-oriented professional to join our expanding team as our primary point of contact for all Purchase Orders - from generation to submission to the invoicing process. The Purchase Order Specialist will collaborate with suppliers, manufacturers, and installers to kickstart the procurement process for materials, components, and equipment essential for our manufacturing operations. This pivotal role will serve as the linchpin in our order management process, inventory control, cost control, quality assurance, and supplier relationships. This role will also be highly collaborative - with daily communication with cross functional teams including accounting, customer service, manufacturing, and sales.       Responsibilities

      • Process customer purchase orders promptly and accurately through data entry using our Enterprise Resource Planning (ERP) system.
      • Respond to customer requests by providing quotes in a timely manner.
      • Coordinate shipments of customer purchase orders with warehouses and vendors.
      • Notify customers of product shipments and provide tracking information as available.
      • Process payments received from customers via check, credit card, or electronic transfer, ensuring accurate application to outstanding invoices.
      • Review contracts and sales agreements to ensure accurate billing terms and conditions, documenting any special arrangements, discounts, or warranties.
      • Manage the company's orders inbox and handle incoming phone calls from customers.
      • Following up on 60+ days past due invoices.
      • Facilitate smooth purchase order and invoice processing, promptly resolving any account discrepancies.
