      Description

      We're looking for a driven and dedicated real estate administrative assistant to join our growing team. Our ideal candidate has superb organizational skills, a knack for details, and strong time management.

      Key Responsibilities:

      Scheduling & Inspections:
      • Coordinate and schedule property inspections with internal and external stakeholders.
      • Maintain inspection calendars and follow up to confirm completion.

      Utilities Coordination:
      • Serve as primary liaison with local utility providers via phone and email.
      • Schedule and track utility installations (electric, water, gas, internet) to meet project timelines.

      Bookkeeping & Accounting Support:
      • Enter and reconcile vendor invoices in the accounting system.
      • Assist with basic accounts payable/receivable tasks and prepare expense summaries.

      Clerical & Project Management:
      • Input and update work tickets, assignments, and deadlines in our project management platform.
      • Generate status reports and ensure tasks are completed on time.

      Contractor & Vendor Coordination:
      • Schedule and communicate the scope of work with contractors, vendors, and suppliers.
      • Track project milestones and deliverables to ensure timely progress and quality standards.

      Material Selection & Ordering:
      • Collaborate with the Executive Team and interior designers on selecting finishes and materials.
      • Place orders, track shipments, and manage delivery schedules.

      Responsibilities
      • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized

      Qualifications
      • Candidates are required to have a high school diploma or GED
      • Communicates well, both verbally and written
      • Previous experience in the real estate industry
      • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
