- Contract Management - Manage a 7-year commercial contract from FCDO, including the annual re-budget process to reflect changes to activities, updated milestones, and milestone valuation; attend all program-related meetings and understand the work in order to draft quarterly and annual progress reports to the sponsor; track completion of deliverables and work with FCDO and GW to request quarterly invoices for completed and accepted milestones; respond to sponsor requests for additional information, compliance reporting, etc. Track budget vs. actuals for program, including subcontracts, and account for gain/loss on the exchange rate to maintain an accurate financial understanding of the program and minimize GW's risk to the extent possible.
- Subcontracts and Supply Partner Management - Work with partners and GWI program team to develop annual subcontract budgets, milestones, and timelines, and amend subcontracts accordingly. Liaise with OVPR's sub-award team, GW's procurement office and subcontractors to make sure all forms are completed and requirements are met. Once each subcontract is finalized and signed, liaise with the subcontractor on reporting requirements and ensure that invoices are submitted in a timely manner and meet GW's requirements. If necessary, provide technical assistance to subcontractors to meet the terms of the contract.
- Requisitions/POs/Payments - Develop and execute TORs/contracts for services, as needed, and review/submit invoices for payment. Work with other operations staff to address issues that arise with service providers or with GW's procurement and accounts payable departments.
- Compliance -Work with relevant GW offices to track, report and ensure full compliance of GW with FCDO's supply partner code of conduct and applicable general terms & conditions. Work with program partners to conduct due diligence of partners and ensure compliance with FCDO supply partner code of conduct (including flow down throughout the delivery chain) and GW policies. May involve the development of due diligence tools and the provision of technical assistance to partners to achieve full compliance.
- Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
- 4+ years' experience in nonprofit administration, including budgeting, subaward management, compliance and narrative reporting
- Experience in research / academic setting
- Knowledge and experience with commercial contracts, foreign currency awards, and compliance requirements; experience with FCDO supply partner code of conduct is highly desirable
- Interest in women's issues, gender equality, and violence against women
- Ability and interest in learning new systems and processes
- Ability to quickly take in and synthesize information, including in areas that are new to you
- Strong written and verbal communication skills
- Highly organized

I. JOB OVERVIEW
Job Description Summary:
This position is part of the operations unit of the Global Women's Institute and is responsible for contributing to the financial and administrative functioning of the organization. The responsibilities of the operations unit include, but are not limited to, budgeting, grants management, proposal management, contract and subcontract development and management, procurement, compliance, payments, human resources, facilities, and equipment and supplies.
This position will be responsible for managing a single FCDO-funded commercial contract, under the overall supervision of the Assistant Director for Research Administration (ADRA), who manages the operations unit, and assists the Director with oversight of the Institute as a whole. Job responsibilities will cover all aspects of research contract management, including budgeting, forecasting, subcontract management, reporting, compliance, and liaising with donors as well as internal and external partners.
Job Duties
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
