- Provide executive administrative support to the school principal, including organizing activities/events (i.e., field trips, volunteer activities), confidential administrative tasks (i.e., scanning, filing, data entry, copying), setting up meetings, and gatekeeper/problem solver with parents/community partners.
- Coordinate all student enrollment activities, including outreach to prospective families, responding to inquiries, and guiding parents through the enrollment process
- Collect, review, and track required enrollment documentation (e.g., registration forms, IEPs/504 plans, proof of residency, immunization records, etc.)
- Maintain accurate student records in the school’s Student Information System (SIS) and ensure compliance with charter, district, and state requirements
- Serve as the primary point of contact for enrollment questions and onboarding support
- Serve as Lead for Weekly Admission Team Meeting/ensuring updating notes in SchoolMint
- Coordinate initial virtual school tours and Open Houses/conduct tours as needed.
- Assist families in finding other resources (i.e. food, Medicaid, housing) to support their child and document in Brightwheel.
- Serve as a welcoming and responsive point of contact for parents and caregivers
- Communicate regularly with families regarding school procedures, schedules, platforms, and support services
- Assist families in navigating the virtual school environment and connecting them to appropriate staff when additional support is needed
- Facilitate and ensure implementation of regular Parent Engagement activities (at least quarterly)
- Serve as the head of the Child Study team for campus/follow up/document any attendance issues.
- Provide first line troubleshooting support to families when students experience issues accessing virtual platforms, logins, devices, or online coursework
- Coordinate with IT or platform vendors as needed to resolve recurring or higher-level technical issues
- Support onboarding of families and students to learning platforms and digital tools
- Support daily operational needs of the virtual school, including scheduling, calendars, documentation, and communication workflows
- Assist school leadership with reports, tracking, and coordination related to enrollment, attendance, and services including updating Class Lists/dashboards.
- Help develop and refine operational procedures as the school grows
- Manage office operations of the school office, including distribution of student supply kits/student devices and provide tech support to parents.
- Provide campus orientation to all new staff regarding school and Paycom procedures/systems.
- Ensures compliance and accuracy in the HR Time and Attendance system in Paycom HRIS system for all employees, monitors time to ensure staff stays on schedule (i.e., overtime), and reviews/approves campus payroll with coordination with the Principal.
- Ensure school communication (i.e., school closings, campus events, with families and staff).
- Acts as a liaison to the HR team concerning respective employee injuries, including ensuring that workers comp claims are submitted timely and assisting the employee in seeking medical care.
- Oversees, maintains, and submits all student accident claims to the Risk Management team in a prescribed manner.
- Coordinate inventory of all technology and curriculum/student supply kits, etc.
- If no School Health Assistant, ensure tracking of physical/Immunization expiration dates/notify parents to ensure compliance.

- Associate degree (or equivalent college credits) Additional related work experience can be substituted for a degree.
- 3–5 years of administrative support experience in an educational or related business environment with a strong focus on data accuracy and reporting
- Collected, managed and analyzed operational data to ensure accuracy, compliance, and timely reporting
- Organized and analyzed data to identify discrepancies and improve processes
- Prepared reports using spreadsheets and database systems to support leadership decision-making
- Maintained confidential records and sensitive data in compliance with privacy and security standards
- Advanced computer and data management skills, including data entry, validation, and record maintenance
- Experience in school operations, enrollment, office management, or family engagement—preferably in a charter, virtual, or special education setting
- Strong organizational skills and attention to detail
- Comfortable with technology, virtual platforms, and learning management systems
- Excellent written and verbal communication skills
- Experience working with students with disabilities and/or related services strongly preferred
- Ability to manage multiple priorities while maintaining a calm, supportive presence for families

Job Summary:
The School Business Manager/Enrollment Specialist plays a central role in the successful launch and day-to-day operations of our new virtual charter school serving students with and without disabilities. This position serves as the operational “hub” of the school—overseeing enrollment processes, supporting families with technology access, coordinating therapy schedules, and acting as a primary liaison between families, educators, and service providers.
This individual is highly organized, family-centered, tech-savvy, and comfortable working in a fast-paced virtual environment that prioritizes accessibility, responsiveness, and inclusion. The candidate must have access to reliable high-speed internet. This position is primarily remote; however, occasional in-person travel may be required for state-mandated testing, professional development, or other school-related activities.
