      The PNC Team

      The Planning & Coordination (PNC) team ensures the successful delivery of the OL promise to clients and guests over time and at scale.

      We oversee the comprehensive planning & coordination across all functional areas to ensure OL is on time, on budget, operating efficiently & effectively, and delivering exceptional experiences at the Olympic Games.

      We build the program playbook and planning processes, foster collaboration & communication across functions, optimize resources, standardi z e & scale business processes, and continuously learn & improve our ways of working program by program.

      The Role and What You’ll Do:

      The Business Process Documentation Coordinator writes, edits , updates, manage s , and maintain s a variety of internal documents, ensuring our documentation is accurate , accessible, and up to date .

      In this role, you will:

      • Support in the documentation of planning and process development to bring Olympic Hospitality to market across destinations globally, while working closely with internal teams and external providers to ensure key processes are developed and followed .

      • Assist in the pioneering and scaling of Olympic Hospitality policies and procedures, as well as researching and implementing new documentation technology systems for the global organization .

      • Assist in the development as well as oversee the maintenance and evolution of the Olympic Hospitality Operational SOP Manual .

      • Support in the development and maintenance of the Olympic Hospitality project management tool across properties and functions .

      • Support in the development and maintenance of cross-functional process data flow s using Airtable .

      • Organize, manage , and maintain all archiving of Olympic Hospitality planning documents, presentation decks , and templates .

      • Support VP and Senior Directors with note-taking, copywriting , and progress tracking .

      • Develop documentation training for onboarding curriculum for all new hires as well as ongoing training for existing team member s.

      • Assist with post-Games Lessons Learned and IOC knowledge transfer .

      • Conduct document audits to ensure all documents accurately reflect current business processes .

      Travel to operational offices when required . Must be adaptable with work and travel schedule and be available to travel for work, which may include extended work hours during nights, weekends, and holidays. International travel may be required . Expected travel may range from 10-15% annually.

      QUALIFICATIONS

      Required Education and/or Experience, Knowledge, Skills, and Abilities:

      You'll Have These:

      • Excellent written and verbal communication skills

      • Strong attention to detail

      • Strong organizational and time management skills, with the ability to multitask and manage concurrent priorities and meet deadlines

      • Solid organization skills

      • Experience w rit ing corporate policies and procedures

      • Experience c reat ing simple flow charts

      • Ability to read and translat e complex cross-functional swim-lane process maps into easy-to-understand written procedures

      • Experience working with cross-functional teams

      • Experience training others

      • Ability to l earn new software quickly

      • Experience with MS Office applications, including MS Word and SharePoint

      • Bachelor’s degree in a relevant field

      Preferred Education and/or Experience, Knowledge, Skills, and Abilities:

      We’d Love If You Also Have These:

      • Experience in technical writing or copywriting

      • Experience working with multi-national teams

      • Software experience, including database and interface creation and management in Airtable , document creation using Plumsail , document management in Adobe Acrobat Sign, flowchart creation in Miro or Visio , and MS SharePoint set up and management

      • Low-code automation & workflow creation to support business processes

      • P rocess improvement or change management experience

      • Training curriculum development

      Per local requirements and in the interest of transparency, the range shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. The company strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.


      Hiring Range Minimum :

      $60,406 annually

      Hiring Range Maximum:

      $67,000 annually
