      Position Description :

      This Senior Executive Assistant role supports the Senior Vice President, Chief Commercial Officer and the Senior Vice President, Oncology Medical Affairs. The purpose of the Senior Executive Assistant role is to provide schedule/calendar management, communication, office management, and other supportive duties for direct and indirect business partners. Schedule and calendar management responsibilities include providing onsite management for all meetings in Lilly Corporate Center and the ability to proactively anticipate potential issues and contingency plan as needed. Successful senior executive assistants consistently function at the highest level with the utmost regard for the Lilly values (Integrity, Excellence, and Respect for People) in the following areas:

      • Interest and ability to research solutions and propose alternatives to senior leaders for decision making.
      • Ability to plan and manage special events for large groups including but not limited to townhalls and offsite meetings and events.
      • Utilizing excellent written and verbal communication skills to effectively interact with all personal styles.
      • Consistently achieving results with business partners and others across multiple functions.
      • Demonstrating personal maturity and discretionary judgment while performing with high energy, integrity, honesty, trustworthiness, and keeping sensitive matters confidential.

      Responsibilities:

      Communication Management

      • Signing for and/or approving, contingent on delegation authority, on behalf of the business partner, communication materials for distribution.
      • Preparing presentations from concepts provided either in written or verbal form using appropriate software packages.
      • Handling e-mail responses as desired by the business partner (read, evaluate, respond, forward, and/or delete as appropriate).
      • Serving as the key contact person in the area to help build relationships, as well as to minimize disruptions for the direct and indirect business partner.
      • Communicating independently in response to incoming requests from external customers, prioritizing the requests, and accepting accountability for the results of decisions.
      • Communicating with senior leaders of other Fortune 500 companies, alliance partners, etc.
      • Being flexible and on call outside the regular workday, including evenings, weekends, holidays, and vacation time and being available by cell phone, e-mail, and/or voice mail.
      • Maintaining direct, open, and constant communication with the business partner, regardless of the location of either, to relay important information.

      Schedule Management

      • Screening and communicating with activities, meetings, events, etc. the business partner will or will not be able to attend and coordinating all arrangements for attendance at those function.
      • Prioritizing and organizing the business partner’s time and ensuring that the business partner is adequately prepared for each day’s activities.
      • Arranging all travel, with every detail finalized, to allow the business partner to focus on the business at hand (details may include hotel, ground transportation, meeting sites, participants, and itinerary).

      Office Management

      • Providing feedback and coaching to business partner and others in the area.
      • Reading, screening, documenting, answering, and filing large amounts of correspondence to reduce or eliminate the need for the business partner to review and forward.
      • Coordinating and directing the activities of others in the work area -motivating, delegating projects or activities, following up on performance, instructing on deadlines and methods.
      • Acting as a mentor and resource to other assistants; serve as the go-to executive assistant in US OBU organization.
      • Developing and maintaining files and filing systems, including personnel files, for the business partner's direct reports, entire division, or component.
      • Opening business partner's mail and taking appropriate action.
      • Maintaining the highest level of confidentiality of all information obtained from and for the business partner.
      • Actively participating as a representative for others on a committee or team.
      • Coordinating travel and meetings with and for outside consultants or groups.
      • Assisting the business partners with personal responsibilities (outside appointments, errand, coordination of schedule for family activities, special events and travel) and personal files so he or she can focus on Lilly business.
      • Other special projects or responsibilities as assigned by business partners.

      Basic Qualifications:

      • High School diploma, or higher-level degree (i.e., Associates, Bachelors, etc.).
      • 2+ years previous experience at the senior administrative assistant level working with and supporting a global organization with exposure to high level, senior executives, and members of management.

      Additional Skills/Preferences:

      • Demonstrated ability to effectively manage complex calendars.
      • Demonstrated ability to problem solve and self-manage/prioritize appropriately.
      • Skilled and active interest and use of technology/applications.
      • Demonstrated event planning for large meeting (Lilly Registered Meeting)
      • High level of organizational skills and project planning.
      • Demonstrated integrity and confidentiality - this position will have access to sensitive and proprietary information.
      • Experience in Lilly policies and procedures, Lilly business knowledge and general business knowledge.
      • Excellent communication (written and verbal), interpersonal, and organizational skills.
      • Ability to collaborate effectively with others to achieve common goals across the organization.
      • Flexibility
      • Demonstrated high level of diligence and accountability for task management.
      • Position primarily located at Lilly Corporate Center.
