Job Description

Check the supply of equipment/materials per Purchase Orders (POs) in coordination with the package managers.
Ensure the acknowledgement of POs with the vendors and follow up the Estimated Date of Delivery (ETA), liaise with the temporary project warehouse and/or with logistics.
Inform the project management of any slippage with the deliveries.
Collect the shipping documents from vendors in due time (loading plan, packing lists, certificates of origin, shipping invoices, vendor’s attestations, vendor’s non dangerous goods declarations….)
Ensure the Change Orders (CO) placement and the receipt of POs confirmations by the vendors.
Ensure the receipt of the POs in the ERP system in accordance with their milestones, follow up with the package managers to get their approval/confirmation of receipt.
Ensure regular back orders’ follow up.
Support accounting with invoice disputes and clarify issues with suppliers.
Train internal users in applying the procurement processes, the ERP and E-procurement system.
Maintain and update the price and supplier data base in the ERP system and E-procurement system.
Assist buyers with Request For Quotations (RFQ), as for suppliers management.
Ensure and coordinate the supplier’s annual assessment.
Bachelor degree minimum with significant experiences in a purchasing department for an industrial or pharmaceutical company,
Able to work autonomously, but also as an active team member.
Strong problem-solving skills and analytical mindset.
Ability to establish good relationships and work effectively with internal users and suppliers.
Excellent written and verbal communication skills.
Fluent in French and English
Proficiency in common office software like Microsoft Word, Excel, experienced in ERP systems and E-procurement system
Proactive, organized, flexible.
