- Manage ad-hoc projects in different areas (HR project initiatives)
- Assist in implementation of Oracle/HRIS or other relevant HR systems
- Prepare workgroup agendas and follow-up on outstanding items
- Manage process enhancements and varied special projects to execute solutions or reduce risk
- Manage annual HR calendar and ensure objectives and annual markers are carried out timely
- Create PowerPoints and present information
- Analyze and present data using Excel
- Manages Outlook calendar for VP and other HR leadership including reoccurring meetings, managing templates, and disseminating information about Outlook to increase efficiency
- Performs research related to a variety of issues as appropriate and requested
- Handles sensitive information with confidentiality and discretion
- Assist in all areas of HR as needed (including Classification and Compensation, Recruitment, Onboarding, Benefits, etc.)
- Establish working relationships with key HR stakeholders and external vendors
- Participating in regulatory, accreditation, and mock surveys (i.e. JCAHO, DOH, CMS, CAP, OMH, EMTALA, ESRD, etc.) if applicable
- Maintaining accuracy and integrity of employee data in HR system of record
- Support other HR staff and may perform specific tasks in the absence of others including fielding/directing HR related questions
- Conducts quality assurance reviews of relevant documents to ensure accuracy, completeness, and compliance (with federal, state, local, and university regulations/guidelines) as applicable
- Ensuring all relevant HR practices and policies are being followed
- Resolve employee and business queries and escalate issues appropriately as needed
- Work to provide excellent customer service to members of the organization at all levels
- Perform accurate and timely completion, delivery, and communication of assignments
- Works on Human Resources Special Projects as needed
- Other duties and responsibilities as required
- Bachelor's degree in Personnel, Business Administration, Public Administration, or related field and four years professional experience in administrative role, preferably in higher education or the public sector;
- Or a satisfactorily equivalent of education, training and/or experience to above
- Experience in a Government Agency, University, and/or Hospital setting as well as certifications or membership in Society for Human Resources Management, American Staffing Association, or similar
- Excellent written and verbal communication skills and emotional intelligence
- Exposure to up to date applicant tracking systems. Knowledgeable of employment law and working knowledge of up to date search, interviewing, selection, and onboarding techniques
- Knowledge of Human Resources policies and practices in HR core areas

Job Summary:
The Department of Human Resources at SUNY Downstate Health Sciences University is seeking a full time Special Assistant to Vice President of HR/Senior Personnel Associate.
Reporting to the Vice President of Human Resources, the Special Assistant to the Vice President will be responsible for providing administrative support VP and managing Human Resources projects/initiatives. This includes timely follow-up, scheduling meetings for VP and senior HR leadership with key stakeholders, and ensuring deadlines are met.
