Organize and schedule board meetings, ensuring that all logistics and details are properly arranged.
Prepare detailed agendas and comprehensive board packets in advance of meetings to ensure all members are well-informed.
Ensure the timely distribution of meeting materials to all board members, providing them ample time for review before the meeting.
Record and maintain accurate meeting minutes, capturing key discussions, decisions, and action items for future reference.
Act as a primary liaison between board members and executive leadership, facilitating clear and effective communication between the two groups.
Communicate important updates, notifications, and announcements to the board, ensuring they are promptly informed of any relevant developments.
Handle inquiries and requests from board members, responding to their needs in a timely and professional manner.
Maintain and update all board-related records, ensuring that all documents are kept up to date and easily accessible for reference.
Serves as the subject matter expert on MyPath’s chosen board management software; providing user support as needed.
Ensure the secure storage of sensitive materials, maintaining confidentiality and compliance with relevant privacy policies.
Prepare necessary documents for review and approval by the board, ensuring they are accurately drafted and ready for consideration.
Provide support to the Board Chair and Committee Chairs, working closely with them to assist with any tasks or requests as needed to ensure smooth operations.
Assist board members with a variety of administrative tasks, offering guidance and support to ensure their needs are met.
Facilitate collaboration among different teams and departments, ensuring effective communication and coordination in support of board activities and initiatives.
Plans and organizes appointments, meetings and events for executive leadership team.
Prepares meeting materials and ensure readiness for meetings based on assignments from executive leadership team.
Provides oversight and support to office management activities related to mailing/shipping, supplies, etc.
Prepares correspondence and responds to inquiries on behalf of the executive leadership team as requested.
Manage receipts and invoices and track payments/reimbursements for executive expenses.
Manages incoming phone calls and voicemails.
Prepares, organizes and manages daily calendars for executive leadership as needed.
Schedules travel arrangements including flights, hotel rooms and rental car reservations as needed.
Identifies and implements process improvements to more efficiently run office activities and troubleshoot issues.
Provides expert attention to details, excellent verbal and written communication skills, professionalism and high-level discretion.
Provides organizational and clerical support for Executive meetings, events and retreats.
Works independently to address problems with decisive problem solving and collaborative strategic thinking to “make that happen.” Expert skill in anticipation of needs at all levels.
Takes on assignments and special projects which support Executives in maintaining operational and strategic focus.
Disseminates incoming concerns or issues and determines course of response or action.
Provides support to the MSS office as needed; this may include occasional presence in the reception area, directing visitors and staff, and delivery notifications occur timely, etc.
Conducts self in positive, respectful and collaborative manner in accordance with the MyPath Beliefs and Behaviors demonstrating proactive actions and decision making that foster supportive work relationships and a healthy and safe environment. Communicates effectively verbally and in writing with internal and external customers maintaining professional conduct and confidentiality.
May attend conferences, workshops and other training as needed and shares this new information with other administrative support roles.
Complies with, and positively reinforces with others, the expectations outlined in: Company Handbook; policies and procedures including emergency/disaster procedures, fire/tornado safety and maintains confidentiality.
Performs all other duties as assigned.
High School diploma required, additional administrative professional certifications a plus
5-10 years of experience providing administrative support to executive leadership roles in a corporate environment
Ability to support executives in remote work locations
Proficient with Microsoft Office products including Word and PowerPoint, Excel preferred, and the ability to become familiar with company specific programs and software
Experience with Board portal software preferred
Strong communication skills
Experience exercising discretion and confidentiality with sensitive information
Excellent organizational, project management and problem-solving skills with an ability to think proactively and prioritize work
Ability to sit for periods of up to two hours.
Ability to lift up to 15 lbs regularly and up to 25 lbs occasionally.
Ability to adapt and be flexible for changes in priorities.
Fast pace changing work environment.
May involve multi-step tasks and simultaneous projects.
No reasonably anticipated exposure to hazardous equipment, assorted chemicals, gases, vapors, or other pollutants.

Overview
The Senior Executive Assistant plays a crucial role in ensuring the smooth operation of an organization's board. This role is essential for maintaining board efficiency and supporting the organization's governance and provides administrative support to the MyPath Executive Team and the MyPath Board of Directors. Additionally, this role acts as liaison for executive leadership with all MyPath companies, Directors, Owners, clients and business partners.
This is a Full-time, hybrid role which reports to the CEO and does not have any direct reports.
