Job Description

- Assist with taskers received, including those in cascade’s, by running clearance processes within the Department and/or interagency.
- Proofread memo’s and other paper as needed for structure, grammar and adherence to Department style guidelines.
- Compose correspondence as directed, such as thank you letters, acceptance of invitations, invitation letters, etc.
- Schedule and arrange meetings and appointments. Select time and location, including virtual options, notify participants, ensure all required materials and services are provided in a timely manner, attend the meetings and take notes, and prepare reports of the proceedings.
- Establish and maintain office records of various types that may be needed or will assist in the efficient operation of the office. Ensure files have all pertinent documents and signatures. Maintain and update the file system accurately to enable quick and efficient retrieval of information. Purge files or perform other file disposition actions accurately and in accordance with established procedures. Supervise or perform annual file inventory effectively. Where appropriate, manage accurate receipt, control, logging, safekeeping, and necessary action on all classified material received.
- Schedules and arranges all travel for members of the Special Envoy’s team, tracks the travel of all these persons, prepares and submits vouchers in E2 solutions, maintains travel profiles on all team members, and ensures the timely submission of all receipts and other required travel documents. Duties also include preparation of country clearances, visa and passport applications, and tracking visa applications, including pick up and drop off at foreign embassies.
- Stays current on travel regulations, policies and procedures.
- Accompany the Special Envoy and team on travel, as needed.
- Conducts research into topics of interest and analyzes this information for trends and important developments.
- Prepares this information into reports as requested.
- Make careful and exhaustive searches for information difficult to obtain, compile data, and make preliminary analyses for the supervisor or other staff as appropriate.
- Read incoming publications, regulations, and directives that may be important to the activities of the staff. Refer those of importance or interest to the team members and team leads.
- Performs other job-related duties as assigned.
- Bachelors degree required
- Three (3) years of experience in general office management, including researching regulations, publications, and directives, is required.
- Requires an active SECRET Security Clearance.
- Demonstrated ability to communicate effectively orally and in writing.
- Demonstrated proficiency in English grammar, punctuation, usage, and style and able to edit in a form suitable for lay audiences.
- Demonstrated ability to establish and maintain effective relationships.
- Demonstrated ability to provide excellent customer service.
- Demonstrated skill and ability in managing multiple concurrent activities of varying complexity, including changing priorities and short turn-around times.
- Demonstrated proficiency in computer and web-based applications including Microsoft Office suite and Adobe Acrobat.
- Ability to manage multiple tasks, coordinate activities in multiple locations, act decisively in daily work, and work well in a multi-cultural team environment.
- Ability to work independently to assess priorities and manage daily coordination of details with minimal supervision.
- Ability to travel with the Special Envoy as needed, sometimes on short notice, domestic up to 25%
- Must pass pre-employment qualifications of Cherokee Federal.

A Staff Assistant will provide office management, travel, research, and analysis support.
Compensation & Benefits:
Estimated Starting Salary Range for Program Assistant $107,627.34 annually
Pay commensurate with experience.
Full time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice.
