      Position Highlights

      Manages and main contact for the Psychology Department Ph.D. Graduate program (average of 80 GA's per semester) including but not limited to recruitment, admissions, advising graduate students, ensuring graduate compliance with policies and procedures, monitoring student progress, processing paperwork. Also responsible for managing graduate budgets and funding, as well as assisting with fellowship, scholarships and any other awards provided to Dept Graduates.

      The Grad Program Coordinator Senior works closely with Department Associate Head hiring GA's for research and teaching assistantship and any other function related to the GA's Program.

      Duties & Responsibilities

      Preparation for incoming new graduate PhD students, which includes:

      • Monitors and edit the online graduate application in GradApp. Makes recommendations, matriculate into the UofA. Prepares offer letters with funding and positions offered.
      • Organizes interview weekend for prospective graduate applicants that would include invitations, travel reimbursements, hotel stay interview itineraries and meals for two days. Prepares for zoom meetings.
      • Works closely with the Associate Head each semester to hire GA’s for research and teaching assistantships. Prepares offer letters with the appropriate FTE’s and salary and make sure they are compliant with the Graduate College to have their benefits loaded in a timely manner.
      • Manages new graduate orientation that is mandatory for training. Prepares agendas, policies and procedures binder, and order food for meals. Process the hiring paperwork for new grads who will be working as GA’s and register them for the semester.
      • Assists with fellowship, scholarship and other misc. awards that have been awarded to our grads. To be sure their financial aid has been adjusted if needed or re-evaluated.
      • Assist assigning over 70 GA’s to research or teaching assistantships positions for Psychology classes each semester including summer and winter session. Pulls evaluations once semester is over to be sure they are compliant. Assisting with TA assignments and offer letters each semester for Fall and Spring courses while managing the TA budget. Monitor the enrollment in classes to ensure we have the correct TA coverage.
      • Assign and hire graders or proctors as needed each semester.
      • Track RA’s for faculty grants to be sure they have all tuition paid and health insurance coverage.
      • Input waivers, placeholders, GTS, GCF, Access Fellowship or AS Scholars awards, and monitor Dean’s monies each semester.
      • Assign graduate students to teach for the Summer and Winter sessions, collect syllabus and evaluations of course.

      Track competency for graduate students with progress reports:

      • Facilitate the entire annual progress report procedure for over 80 graduate students in the department. Work with the Director of Graduate Studies concerning graduate students and program issues, and maintain graduate student database.
      • Work with every faculty advisor and graduate student in department to get the annual progress report done, have advisors review the report, advisors write a letter showing progress, program director reviews letters and issues warnings, if needed.
      • Coordinate with Director of Graduate studies the elaboration and distribution to Graduate Students of acceptance letters; ensure graduate students acceptance or coordinate meeting with their advisor.
      • Coordinate meetings between faculty and student when there are issues.

      Graduate Advisor:

      • Interacts effectively with graduate students in our PhD program advising by email, phone calls, zoom meetings and in person meetings of all levels.
      • Advise graduate students throughout their course of study; provides program procedures, plan of study, policies, petitions, goals and objectives, technical guidance and problem resolution.
      • Monitor graduate student progress using GradPath.
      • In addition, students come to me if there are experiencing issues with their faculty, if they will be taking a leave of absence (i.e. maternity, etc.) speak to me about personal issues, or any other number of problems (career, financial, problems with course load, etc.).
      • Organizes each spring the research forum for our grads who have completed their MA and present posters at the forum.

      Work with Graduate College departmental faculty for each program to prepare several report such us: Diversity, Funding, Proficiency, Policy Changes and other graduate information Analytics reports.
