      This role is hybrid and requires candidates to commute to the West Hills, CA office three days a week (Tuesday through Thursday), with the option to work from home on Mondays and Fridays.

      POSITION SUMMARY:

      The Talent Acquisition (TA) Coordinator works closely with the TA team to provide administrative support and assists with the full cycle of the recruitment and hiring process including recruiting, interview scheduling, candidate travel, pre-hire activities, and onboarding. The role has elevated levels of interaction with hiring managers, candidates, and new hires. In addition, they will aid in developing communications, assisting with recruiting events, pulling data reports and requests, and handling special projects as assigned. The TA Coordinator reports to the Senior Talent Acquisition Manager.

      • Provides administrative, coordination and logistical support to the TA team, hiring managers and candidates during the recruiting and onboarding processes end-to-end, from requisition request to hire date.
      • Manages all aspects of high-volume interview scheduling with a high-touch level of service, including coordination of executive level interviews and travel arrangements. Coordinates both candidate and interview team calendars along with conference room / MS Teams bookings.
      • Assists in opening and posting internal and external job postings on various external sites and conducts initial screenings of applicants.
      • Acts as main point of contact for TA partners, hiring managers, and candidates on all interview activities through pre-hire actions throughout recruiting process.
      • Manages the pre-employment screening process for new hires, collaborating with our third-party partners, ensuring compliance, and escalating any flagged discrepancies.
      • Maintains data and process integrity, via Workday, our Applicant Tracking System (ATS), and file management.
      • Prepares new hires for their first day of employment with Pharmavite. Coordinates and schedules new hire orientation (Embark) for new employees.
      • Manages the general recruitment email inbox (and other general recruitment requests) and responds promptly and professionally to internal and external recruiting related inquiries as needed.
      • Supports various recruiting related projects, requests, and deliverables as needed to assist the TA team, including sourcing using recruiting tools (LinkedIn, Beamery, etc.).
      • Tracks recruiting metrics and prepares reports and graphical presentations. Maintains spreadsheets and prepares reports for use by the TA Department.
      • May serve as onsite coordinator for interview candidates and be called upon to greet and usher candidates upon their interview visit as well as check in throughout the interview process to keep on schedule.
      • Performs other related duties as assigned.

      REQUIRED QUALIFICATIONS:

      • 2+ years of Human Resources / Recruiting or related experience.
      • Extremely organized with a strong attention to detail and accuracy and excellent follow-through skills.
      • Ability to prioritize effectively and multi-task to manage several key priorities simultaneously.
      • Demonstrates a high level of professionalism and ability to maintain confidentiality, especially with sensitive and private matters.
      • Excellent verbal and written communication skills.
      • Exceptional customer service skills.
      • Demonstrated ability to work independently and collaboratively in a fast-paced, high-performance environment.
      • Prior experience proactively creating and executing process improvement initiatives.
      • Ability to provide a positive recruitment experience as a visible team member both within the organization and to outside partners.
      • Ability to work a flexible schedule and support work across multiple locations and time zones.
      • Possess a growth mindset and motivation to work outside of your comfort zone.
      • Proficient in Microsoft 365 (including Word, Excel, and PowerPoint).
      • Experience using Workday, our Applicant Tracking System (ATS), strongly preferred.
      • 4-year college degree strongly preferred.

      National Target Base Pay Range: $45,000-$73,000

      SALARY RANGE

      The salary range for this position is based on national standards. For candidates in California and New York metro the Target Base Pay Range is $51,000 - $81,000 , to reflect the cost of living and market conditions in those areas.

      Actual compensation will take into account a wide range of factors that are unique to each candidate, including but not limited to geographic location, education, experience, qualifications and job-related skills. It is not typical for an individual to be hired above the midpoint of the range for their role and compensation decisions depend on the facts and circumstances of each case. This information is provided to applicants in accordance with state and local laws.

      Base pay is only one component of our total rewards offerings, and we will take the full offering into consideration when presenting an offer of employment. Our total rewards package for this position may also include an annual performance bonus, Medical, dental and vision benefits, 401K match, and other wellness benefits.

      Pharmavite provides compensation for all overtime hours worked by non-exempt (hourly) employees in accordance with state and federal law. The need to work overtime hours will be determined by management, based on customer and business necessity to meet the needs of our business, Pharmavite may require employees to work overtime.

      Voluntary overtime requested by non-exempt employees must be approved in advance by the employee’s supervisor.
