      Lead Associate - Sample Room

      The Sample Room Fulfillment Lead will be responsible for managing the daily operations of the sample room within our distribution and fulfillment center. This role involves the receipt, organization, and fulfillment of sample requests ensuring accuracy and efficiency in sample processing. The ideal candidate will possess strong organizational skills, a commitment to quality, and the ability to support and train a team.

      Key Responsibilities:


      Team Supervision:

      • Support and train sample room staff to ensure adherence to procedures.
      • Assign tasks and monitor team performance

      Sample Management:

      • Oversee the receipt, inspection, and organization of incoming samples
      • Ensure samples are correctly labeled, stored, and tracked within the sample room.
      • Manage sample inventory levels, ensure accurate stock counts and timely reordering of supplies.

      Order Fulfillment:

      • Coordinate and oversee the processing of sample requests from internal and external stakeholders.
      • Ensure that samples are picked, packed, and shipped accurately and promptly.
      • Monitor and address any discrepancies or issues related to sample orders.

      Quality Control:

      • Enforce quality control procedures to maintain high standards for sample handling and processing.
      • Conduct regular audits of sample inventory and order fulfillment to ensure compliance with company standards

      Process Improvement:

      • Identify opportunities for process improvements and implement changes to enhance efficiency and accuracy in the sample room operations.
      • Collaborate with the outbound leadership team to develop and refine standard operating procedures (SOPs).

      Communication and Collaboration:

      • Act as a liaison between the sample room and other departments (e.g. sales, marketing, product development) to ensure smooth coordination and timely fulfillment of sample requests.
      • Provide regular updates and reports on sample room performance, including key metrics, and any issues encountered.

      Safety and Compliance:

      • Maintain a clean and organized work environment, adhering to safety and health regulations.
      • Ensure that all sample handling procedures comply with company policies and industry standards.

      Other Key Responsibilities:

      • Troubleshoot quality issues and assist in problem solving.
      • Communicate any warehouse-related issues during shift to Supervisor.
      • Communicate department information to the team.
      • Able to follow/understand/promote departmental safety regulations.
      • Maintain and improve inventory integrity.
      • Flexibility to work OT when needed, including occasional Saturdays

      Other Requirements:

      • Strong leadership and team management abilities
      • Excellent organizational and multitasking skills
      • Proficiency in warehouse management systems (WMS) and Microsoft Office products.
      • Attention to detail and commitment to maintaining high quality standards
      • Strong communication and interpersonal skills
      • Conduct other work as directed by supervisor.
      • Forklift experience preferred.
      • Support improving company culture and maintain a positive attitude.
      • Communicate with and lead employees courteously and professionally.
      • Generate excitement and willingness to ‘Go the extra mile’ to meet/exceed department goals.
      • Must be an effective listener.
      • Bilingual skills a plus

      Education:

      • High school diploma or equivalent; associate degree in a related field is a plus

      Physical Requirements:

      • Ability to stand for long periods
      • Requires sufficient physical ability to occasionally push and pull, frequently bend, walk, lift, carry, and reach moderate amounts of weight in a fast-paced environment.
