      The Department of English is committed to the symbiotic relationship of teaching, research and the larger concerns of society. Dedicated members of the department contribute to the teaching of interdisciplinary programs at both the undergraduate level and the graduate level, as well as bringing their interdisciplinary interests to their English courses. Ourmission is to foster a deeper understanding and appreciation of the rich history and geographical diversity of the literary tradition in English, a fascinating conversation spanning over a thousand years and connecting nations and peoples all across the globe.

      Under the general direction of the Associate Chair and reporting to the Department Manager, the Undergraduate Assistant works closely with the Undergraduate Administrator & Advisor to provide student support and administrative functions for the Department of English Undergraduate Office. The position responds to undergraduate student program issues and concerns; troubleshoots timetabling and room booking conflicts; assists with organizing and running recruitment and program events; updating web and other online information; and communicating with faculty members.

      Your responsibilities will include:

      • Providing detailed information to students on program and/or course requirements
      • Acting as the first point of contact for general enquiries
      • Troubleshooting timetabling and/or room booking conflicts
      • Collating and organizing data for various reports
      • Maintaining information on digital platforms
      • Creating and updating job postings in the database
      • Keeping well-informed on University programs, policies, and procedures
      • Handling sensitive and/or confidential information

      Essential Qualifications:

      • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
      • Minimum two years of administrative or customer service experience, preferably in a post-secondary environment
      • Experience providing front line student services and detailed information on programs of study and other related information through both face-to-face and digital media.
      • Experience providing administrative support to undergraduate programs, including entering student data and preparing reports; coordinating room assignments; and maintaining files and records.
      • Experience organizing the logistics of meetings and special events.
      • Experience maintaining and creating databases and statistical reports.
      • Demonstrated advanced computer skills, including Microsoft Office (e.g. Word, Excel, PowerPoint, OneDrive, SharePoint).
      • Intermediate experience using ROSI, ROSI Express, Degree Explorer, Quercus, or similar student information systems to retrieve information and compile reports.
      • Excellent communication (oral and written) and interpersonal skills with the ability to promptly respond to inquiries with clarity.
      • Excellent problem-solving skills, and demonstrated initiative, tact, and good judgment.
      • Excellent time management skills including the ability to follow detailed instructions accurately, prioritize and deal with multiple tasks to ensure all deadlines are met.
      • Excellent interpersonal skills and customer service skills, including the ability to effectively interact with students, faculty, and the general public.

      Pro-rated Pay Scale Group & Hiring Zone:
      USW Pay Band 08 -- $31,416.00 with an annual step progression to a maximum of $40,175.50. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
