Administrative Coordinator

Position Summary

The Administrative Coordinator serves as the primary front desk concierge, provides administrative support to leaders and individuals across the organization, and handles daily office-related tasks and assignments, projects, reports.

Essential Job Functions & Responsibilities

• Serves as the front desk concierge, providing exceptional hospitality while managing front desk operations, including welcoming and assisting guests, answering and directing phone calls, handling deliveries and mail, responding to inquiries, and ensuring visitors are connected with the appropriate individuals or departments.
• Orders, maintains, and manages office supplies, equipment, and operational resources to support the Network Support Center team, ensuring a well-equipped, efficient, and professional work environment.
• Coordinates facility and building-related needs as required to support daily operations.
• Provides comprehensive administrative support to assigned leaders, departments, committees, and organizational initiatives, including calendar management, meeting and event coordination, communications, correspondence, document preparation, presentations, expense reporting, and other operational activities.
• Prioritizes competing demands and exercises sound judgment to ensure efficient office operations and timely execution of responsibilities.
• Serves as a trusted partner to leadership by supporting projects, reports, presentations, and strategic initiatives; independently gathering information, maintaining confidentiality, coordinating stakeholders, tracking timelines and action items, and ensuring work is completed accurately, professionally, and within established deadlines.
• Fleet vehicle management duties as assigned.
• Completes a variety of special projects, assignments, and other related duties as assigned.

Education & Experience

• High school diploma or equivalent is required. A Bachelor’s degree is highly preferred
• 3+ years of related experience
• Ability to handle multiple priorities in a fast-paced environment with fluctuating priorities and deadlines
• Ability to provide support to multiple leaders and individuals across the company
• Self-motivation and initiative, and the ability to work independently with limited direction
