Executive Assistant

Position Summary:

The Executive Assistant (EA) serves as the central point of contact for the VP Provider Network Services (PNS). The EA is responsible for managing complex calendars, document preparation, data entry, coordinating interviews for providers and staff, facilitating smooth communication and assisting in the onboarding of new hire providers and staff. The EA is responsible for general office duties and supports the department by participating in a variety of department projects as assigned. The EA will also work closely with Administrative Assistants across the organization and supporting the directors of PNS. The EA respects confidential information and exercises good judgment. The EA must have a good sense of business understanding, enabling them to effectively prioritize tasks for their own work. A high level of integrity and discretion in handling confidential information, as well as professionalism in dealing with senior executives inside and outside of the company is critical. The EA will provide support for the mission, vision, and values of Conway Medical Center (CMC) to serve both internal and external customers.

Qualifications:

Education:

• High School Diploma required.
• Associate degree in related field preferred.

Experience

• A minimum of 3 years’ prior experience working in an office environment required.
• Prior experience working in healthcare environment preferred.
• Prior experience working in the administrative suite preferred.

Duties & Responsibilities:

• Serves as key communicator between VP PNS, physicians, staff, and visitors.
• Co-manage daily calendars and act as additional point of contact for external entities for executive/leaders in the PNS Suite and as assigned,
• Schedule and set-up meetings as assigned by VP and Directors.
• Ability to complete complex tasks timely with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without knowing the whole picture.
• Assist with coordinating interviews (providers/staff), itineraries, and provider onboarding.
• Regularly display attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across teams.
• Provide assistance and answers to employee questions or directs to staff that can assist.
• Responsible for various PNS Administration related projects that may change over time.
• Provide exemplary customer service to all CMC staff, patients, and visitors.
• Work effectively and collaboratively with colleagues and department heads.
• Consistently display effective verbal and written communication skills.
• Proficient use of Microsoft Outlook, Word, Excel, Explorer and PowerPoint.
• Regularly exercise independent judgment and critical thinking skills.
• Remain calm and professional in all situations.
• Detail-oriented, a good planner with the demonstrated ability to respond effectively and efficiently to any occurring issues.
• Demonstrate the ability to proactively anticipate needs.
