This Executive Assistant position serves as a trusted partner to hospital executive leaders, managing complex schedules, coordinating meetings and events, supporting strategic initiatives, and serving as a key point of contact for internal and external stakeholders. Success in this role requires exceptional organizational skills, sound judgment, attention to detail, and the ability to thrive in a fast-paced healthcare environment.

Responsibilities

• Manages senior leadership’s calendar and schedules appointments to ensure appropriate preparation time. Screens incoming calls and correspondence and responds independently referring to other resources when appropriate.
• Prepares agendas, notices, minutes and resolutions for meetings.
• Build and maintain positive relationships with internal and external customers with whom the executive interacts. Evaluates and respond to internal/external requests for information as needed.
• Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.
• Performs complex and confidential functions including developing powerpoint presentation and written correspondence. Responds to routine external and internal correspondence and well versed in how to manage patient complaints. Types memos, purchase requisitions, payment requests and other department forms and documents.
• Assist other staff as needed to ensure no gaps in service to leadership team.
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
• Primary support for business unit strategy deployment and tiered management.
• Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings.
• Organization Expectations, as applicable:
• Demonstrates ability to provide care or service adjusting approaches to reflect developmental level and cultural differences of population served
• Partners with patient care giver in care/decision making.
• Communicates in a respective manner.
• Ensures a safe, secure environment.
• Individualizes plan of care to meet patient needs.
• Modifies clinical interventions based on population served.
• Provides patient education based on as assessment of learning needs of patient/care giver.
• Fulfills all organizational requirements
• Completes all required learning relevant to the role
• Complies with and maintains knowledge of all relevant laws, regulation, policies, procedures and standards.
• Fosters a culture of improvement, efficiency and innovative thinking.
• Performs other duties as assigned

Required Qualifications

• 3 or more years of Executive Assistant experience

Preferred Qualifications

• A.A./A.S.
• B.S./B.A.
• 5 years or more supporting/assisting senior level executive (SVP & up)

An individual's pay rate within the posted range may be determined by various factors, including skills, knowledge, relevant education, experience, and market conditions.
