Executive Assistant

Our Executive Assistants work closely with our executives to ensure that day-to-day operations run smoothly.

In this role, you will oversee impactful projects and become deeply involved in the business. This role performs anticipatory and comprehensive administrative and executive support related tasks for assigned executive(s).

What You'll Do

As an Executive Assistant, you will:

• Develop and maintain a superior level knowledge of the business area(s) you support. Leverage knowledge of the business unit strategic plans in supporting assigned executive(s).
• Proactively manage complex calendars, coordinate travel, and handle end-to-end meeting logistics—ranging from routine scheduling, room reservations and catering to large-scale, multi-day events.
• Relieve assigned leadership of routine and administrative details by maintaining a thorough knowledge of the leader’s work and anticipating the needs and priorities of the assigned leader.
• Partner with the executives on special projects, key initiatives, or board-level preparations, tracking deliverables and ensuring milestones are met.
• Perform tasks using independent judgment and discretion to manage, compile, verify, and analyze information including preparing documents, reports, and presentation materials.
• Serve as the point of contact between the executive and their colleagues and direct reports.
• Effectively manage confidential information while maintaining the security of the executive's data and documents.
• Foster positive, collaborative relationships with other administrative team members across the organization.

What it Takes

• Associate Degree or equivalent work experience.
• Minimum of 3 years of related work experience.
• Executive-level administrative experience is preferred.
• Strong proficiency in core Microsoft Office applications including Word, Excel and PowerPoint.
• Demonstrated proficiency with productivity tools and portal technologies (i.e. Workday, Zoom, MS Teams (Town Halls), WebEx) is preferred.
• Ability to assume responsibility with minimal supervision and make decisions within the scope of assigned authority.
• Produce work products thoroughly and with great accuracy and high level of attention to detail.
• Possess skillful communication and human relations skills with demonstrated experience producing written or verbal communication in a clear, concise, organized and convincing manner for the intended audience.
• Proven ability to maintain confidentiality.
