      Our client, a Fortune 500 Software Organization, is seeking an Administrative Assistant 3 to join their team.

      The opportunity:

      The Administrative Assistant will work closely with a team of Executive Assistants to provide administrative support in various capacities. The ideal candidate is organized, proactive, detail-oriented, and discreet, capable of handling confidential information with diplomacy. We seek someone driven, energetic, flexible, and adept at building positive relationships across the company to create a positive site experience.

      What You'll Do:

      1. Be a highly visible member of the Experience Platform team and the San Jose site, acting as an ambassador of the company.
      2. Set the tone for the organization, maintain the executive's image, and represent them on multiple issues and subjects.
      3. Manage a welcoming environment and keep the executive and team informed of organizational issues and concerns.
      4. Handle calendar and time management, coordinating complex meetings and schedules with internal and external stakeholders.
      5. Arrange and coordinate travel, events, and meetings, adapting quickly to changes.
      6. Prepare agendas, presentations, and provide logistical support for the team.
      7. Track and report on department initiatives and budgets, and manage purchase orders and expense reports.

      What You'll Need to Succeed:

      2. Ability to understand executive priorities and stay ahead of their needs.
      3. Maintain professionalism and create positive interactions with staff and customers.
      4. Operate with discretion, uphold confidentiality, and build trust.
      5. Be highly organized, detail-oriented, proactive, resourceful, and efficient.
      6. Handle high-pressure requests and changes diplomatically and effectively.
      7. Experience in project management, multitasking, and meeting deadlines.
      8. Excellent written and verbal communication skills across all levels.
      9. Strong analytical skills for data synthesis, reporting, and recommendations.
      10. Proficiency in Word, Excel, PowerPoint, Outlook, Teams, Slack.
      11. Sense organizational morale and raise concerns appropriately.
      12. Motivated to learn, take on new challenges, and assist others.
      13. Energetic, enthusiastic, and proactive in supporting the team.
