      Job Description

      Allied Universal® is hiring an Administrative Assistant in Cambridge, Ma. The Administrative Assistant is a dynamic and self-motivated individual able to provide administrative support and coordination to the Head of Global Security for a high profile customer. In addition, the Administrative Assistant will also provide support for other members of the Global Security team and participate in the organization of large site level activities with other administrative and operations staff.

      Hourly pay rate $30.00

      Ideal candidate will possess the following:

      • 2–7 years of administrative experience, including direct support to C-Suite executives

      • Proven expertise in Microsoft PowerPoint (required)

      • Prior experience managing or tracking budgets

      • Strong time-management skills and the ability to multitask

      • Excellent written and verbal communication skills

      RESPONSIBILITIES:

      • Build strong working relationship with the Head of Global Security, and leadership team by organizing efficient communication and following up with deadlines and pertinent information
      • Provide administrative support, including calendar management (scheduling, prioritizing, resolving conflicts, etc.), coordination of team meetings, expense management, travel, arrangement, event management of internal department events
      • Proactively handle complex and often ambiguous issues; understands priorities and makes responsible decisions with limited information; accomplishes tasks independently; capable of providing technical guidance to others; may need to coach and provide support to the work of other administrative staff within the function
      • Build strong working relationships with administrative and operations staff at Allied Universal’s corporate office by organizing efficient communication and following up with deadlines and pertinent information, offering support to the other admins as needed
      • Maintain working knowledge of relevant customer policies and procedures
      • Establish rapport with key stakeholders to enable effective management of strategic projects
      • Maintain group and/or company document and knowledge repositories, websites, and business systems (e.g., SharePoint, Synapse), as needed; expedite flow of work items and initiate follow-up when necessary
      • Large-scale meeting support including logistics coordination (secure room, A/V support, catering etc.), pre-event material preparation, day-of meeting set up, contract/payment processing as needed, management of minutes and other related activities; oversight of coordination process when using resources

      QUALIFICATIONS (MUST HAVE):

      • High school diploma or equivalent
      • Minimum of seven (7) years of administrative/office experience
      • Minimum of seven (7) years of education/work experience consistently utilizing MS Office (Word, Excel, Power Point, Outlook) and/or Google Workspace
      • Professional oral and written interpersonal communication skills
      • Efficient time management skills
      • Strong attention to detail
      • Exceptional customer service skills
      • Able to multitask in a dynamic environment with varying demands for priority
      • Exceptional organization skills

      PREFERRED QUALIFICATIONS (NICE TO HAVE):

      • College degree in business administration, communications, or a related field
      • Executive assistant experience
      • Proficiency in SharePoint or ability to create and maintain a department intranet site
