      ADMINISTRATIVE ASSISTANT

      ENROLMENT & COMMUNICATIONS

      NorQuesters are difference makers and we’re searching for someone who can lead from where they are, be dependable, and find ways forward in the administrative support of our Enrolment & Communications portfolio as an Administrative Assistant.

      Reporting to the Vice President, Enrolment & Communications, the Administrative Assistant provides coordination and general administrative support to senior leaders and across the portfolio, connecting with clients across the college. Acting as a connector and enabler for team members, internal clients, and external partners, the Administrative Assistant ensures individuals and teams have the support they need to achieve portfolio business goals.

      HOW YOU’LL MAKE A DIFFERENCE

      • Maintain and monitor general shared email inbox for Enrolment & Communications.
      • Working with the Executive Associate, manage invoice processing and operational expense tracking, ensuring accurate coding.
      • Maintain and organize files and records.
      • Support the Executive Associate with portfolio wide meetings, town halls, team building events, or other team meetings and functions.
      • Support teams with minute taking, agenda distribution, and IT support, including for committees and cross-departmental meetings.
      • Manage administrative support requests assigned through Enrolment and Communications’ project management tool.
      • Manage general inquiries and questions from external departments and clients, triaging to appropriate contacts when needed.
      • Monitor Directors’ schedules, arrange and organize leadership meetings, and take meeting minutes as needed.
      • Contribute to divisional and committee meetings and events through organizational tasks, ideas, presentations, and support during planning and delivery.
      • Manage expense reconciliation and submissions for Directors.
      • Manage ordering and receipt of approved team materials such as event materials and video tech.
      • Process department and staff requests for building or software maintenance through Facilities and Service Desk.

      WHAT YOU BRING

      • Post-secondary diploma, preferably in office or business administration.
      • 2+ years’ experience in office administration and client support, ideally in a post-secondary environment.
      • We’ll consider a combination of education and related administrative experience.
      • Intermediate to expert MS Office skills, some PeopleSoft experience is an asset, and adaptable to new software platforms and solutions.

      SALARY: $49,129 - $63,854 annually reflective upon what you bring AKA your education and experience. This is a full-time permanent position with the Alberta Union of Provincial Employees and includes immediate access to our great pension and benefit programs.
