- Answering phones and interface with incoming donors, prospects and volunteers.
- Sorting and distributing incoming mail.
- Ordering office supplies, prepare purchase orders and check requests.
- Maintaining annual department calendar.
- Organizing meeting schedules, agendas, and minutes for Foundation meetings.
- Preparing daily log of gifts received.
- Coordinating all mail solicitations with the Foundation team and outside printer.
- Organizing and supporting all fundraising and donor recognition events, schedule meeting rooms and prepare function sheets for Dining Services, etc.
- Preparing invitations and recognition items.
- Keeping appropriate records and promotional materials relating to special events and help where needed at events.
- Assisting in gift processing functions as necessary..
- Printing and sending honor/memorial acknowledgment cards.
- Assisting the Director of Strategic Communications and Brand Management with administrative task, communications and brand management initiatives.
- Assisting Volunteer Manager with monthly volunteer schedules. Helping to fill gaps in schedule and support Volunteer office in the absence of manager.
- Assisting Volunteer Manager with copies and correspondence related to The Friends Auxiliary.
- Daily mail retrieval and distribution for the Executive Team, Foundation, and Volunteer Services Manager
- Providing general administrative support to Executive operations, ensuring smooth day-to-day functions.
- Assisting with maintaining a clean, welcoming, and well-stocked office environment for team members and volunteers.
- Collaborating with team members to identify supply needs and ensure timely replenishment of inventory
- Coordinating various scheduling arrangements when necessary.
- Minimum of 2 years of continuing education, Associates Degree and/or related work experience is required.
- Must have the ability to apply various talents, skills, and education on the management of the administrative functions of a fund raising office.
- Must have strong organizational skills, data entry, and clerical skills.
- Exercise tact, diplomacy and good judgment in a confidential and sensitive environment.
- Must possess a valid driver’s license.
