      The Administrative Assistant is responsible for assisting the Department Director and designated subordinates with support, customer service and administrative duties. The Administrative Assistant represents the Department as the initial contact for residents, visitors, and other departments throughout the community.

      EDUCATION, EXPERIENCE, CERTIFICATION AND LICENSURE REQUIREMENTS

      1. High School diploma or equivalent preferred.
      2. Associates degree preferred.
      3. 0-2 years administrative experience preferred.

      Job Duties

      1. Create and maintain administrative correspondence, memorandums, and reports in an organized manner.
      2. Maintain the Director’s appointment calendar.
      3. Serve as vendor liaison for proposals, contracts, service agreements, and insurance certifications. Maintain them in an orderly manner. Oversee of the receipt and timely payment of vendor invoices for services and items purchased.
      4. Coordinate and track the use of community bankcards by various team members.
      5. Review, edit, and finalize external communications (emails, letters, notices, social media postings, etc.) and internal memos/postings initiated by the various department leaders.
      6. Serve in the following roles as backup: Reception/concierge and Business office & payroll
      7. Oversee the availability of office equipment throughout the community.
      8. Represent the community and the Department in a positive manner to residents, families, governmental agencies, professional organizations, and community groups.
      9. Maintain and promote compliance with the policies of the community and Pinnacle Living. Maintain resident rights and confidentiality.
      10. All other duties as assigned.

      Knowledge, Skills, and Abilities

      1. Basic administrative knowledge and skills which are applied within clearly defined parameters using standard procedures and practices.
      2. Typing speed of 50+ wpm.
      3. Ability to read, write, and follow verbal and written instructions.
      4. Excellent computer skills with proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
      5. Attention to detail and high regard for confidentiality.
      6. Ability to communicate well with visitors, residents, resident family members, and community team members.
      7. Exceptional customer service and phone skills.

      PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

      1. Universal staffing, holiday, inclement weather, and a flexible work schedule are required.
      2. Exposure to the sights, sounds and odors of a typical long-term care and health care environment serving senior citizens, some with dementia.
