- Greets visitors and/or applicants and responds to a variety of questions and requests; refers to proper personnel as appropriate
- Responsible for answering incoming calls to Human Resources, answering questions and providing assistance; routing to appropriate office when needed
- Responsible for reconciling monthly benefit bills and processing for payment
- Processing invoices for payment and managing/monitoring department operating budget
- Responsible for supply orders and inventory tracking
- Assist with Human Resources related contracts
- Posts, makes entries into, and runs reports in our HRIS (Munis); reconciles p-card transactions
- Types purchase orders and works directly with the Finance office to ensure accuracy
- Provides information concerning department activities, personnel policies, and procedures.
- Types correspondence, memoranda, produces reports, and/or other work products from rough draft, copy, notes, or verbal instructions.
- Performs research; collects and analyzes data.
- Processes and monitors background checks
- Scans paperwork into electronic files
- Performs reference checks and completes employment verifications
- Serves as the Volunteer Coordinator and ensures applicable process and backgrounds are complete for the departments our HR office supports
- Prepares periodic and required statistical reports
- Operates standard office, word processing, and data entry equipment
- Performs assigned functions as a Disaster Ready Team (DRT) member
- Performs specialized department tasks and duties as assigned

This position will serve as the Administrative Assistant in the Human Resources Department.

The HR Administrative Assistant performs intermediate skilled administrative support work performing a variety of administrative tasks involving data entry, specialized research, and clerical support to the Human Resources department, and related work as apparent or assigned. Work is performed under the moderate supervision of the Human Resources Supervisor and Director.
Thorough knowledge of standard office practices, procedures, equipment and office assistance techniques; thorough knowledge of business concepts, spelling and arithmetic; thorough knowledge of the organization and functions of the department and of general administrative policies and practices; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to prepare effective correspondence independently; ability to operate standard office equipment including personal computer and knowledge of applicable software packages (Excel, Word, Adobe, etc.); ability to communicate effectively, both orally and in writing; ability to establish and maintain effective working relationships with associates and the general public.
High school diploma or GED and extensive experience in clerical or office work, or equivalent combination of education and experience, is required. Knowledge of Human Resources and/or experience working in an HR office setting is beneficial, but not required. Experience reconciling bills and/or entry-level accounting is preferred.
Salary will be determined based on qualifications, internal equity, budget and market considerations.
