Location: Office of the General Counsel, Knight Building, 2737 Centerview Drive, Tallahassee, Florida 32399-3100.
Starting Salary : $1,356.00 Bi-Weekly (In accordance with current spending restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever is higher.)

POSITION DESCRIPTION :
This position is assigned to the Public Records Unit (PRU) within the General Counsel’s Office. Under the supervision of a Senior Attorney, this position will log, process and track public records requests.
This position provides customer service to citizens requesting Department records. Training will be provided to accomplish tasks including:
Logging, processing, and tracking public record requests.
Assisting in screening all incoming calls, faxes and emails for the Public Records Unit.
Preparing public record requests by assigning to appropriate custodians.
Processing a variety of confidential correspondences, reviews subject matter, and prepares assignments under the direction of the Public Records Coordinator.
Managing production of information and documentation for the Public Records Unit and the Office of the General Counsel.
Reviewing and analyzes records and information from multiple sources and determines relevance to specific requests.
Reviewing data control process and implements new methods and procedures for effectively reviewing and entering data.
Ensuring that all electronic documentation and hard files are kept up-to-date and readily available upon request.
Maintaining tracking databases for Public Record Requests.
Processing all payments received for record requests in a timely manner.
Proofreading and editing documentation for grammatical, spelling, and typographical errors.
Working as back-up assistant to the Labor and Employment Attorney who has primary responsibility for legal representation of the Department in personnel administration by advising Department leadership on matters including employee discipline and administration of collective bargaining agreements.
Performing other related duties as assigned.
MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING/REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES
Knowledge, skills, and abilities, including utilization of equipment, required for the position.
Knowledge of the methods of data collection.
Ability to organize data into logical format for presentation in reports, documents, and other written materials.
Ability to work independently with minimal supervision.
Ability to understand and apply applicable rules, regulations, policies, and procedures relating to public record requests.
Ability to plan, organize, and coordinate work assignments. Ability to communicate effectively, both verbally and in writing.
Knowledge of office procedures and practices.
Knowledge of the principles and techniques of effective verbal and written communication.
Ability to use standard business formats and styles for letters and business forms.
Ability to use Microsoft applications (Word, PowerPoint, Outlook, Excel, etc.)
Ability to operate general office equipment.
Ability to handle confidential information.
Ability to use correct spelling, punctuation, and grammar.
Ability to establish and maintain effective working relationships with others.
PREFERRED QUALIFICATIONS
Experience working in an office setting.
SPECIAL NOTES

Licenses that have Corrective Lenses Restriction are acceptable, provided that the driver wears corrective lenses while operating the vehicle.
