Administrative Assistant II - CTE/STEM 40 hrs/week, Mon-Fri, 220 days per year (pro-rated for 2023-24) Starting date: 1/2/2024 Location: HDREC, Redmond, OR Rate as established by bargaining agreement, Classified Wage Schedule, starting range $22.06 - $26.84/hr. Benefits include insurance package, sick leave, vacation, paid holidays, generous PERS contribution. ADMINISTRATIVE ASSISTANT II – CTE/STEM Definition: With a minimum of supervision, the administrative assistant provides support to the department and program director in a professional manner. The administrative assistant performs duties within broad parameters, exercising considerable independent judgment. Qualifications: This position requires a High School diploma or equivalent. Successful experience in a similar CTE/STEM position or an understanding of CTE and STEM is preferred. A thorough knowledge of business English, composition, spelling and punctuation is expected. Have an understanding of high school operations and processes. Be able to communicate clearly with CTE and STEM staff. Considerable knowledge of professional office practices (Google Suite) and procedures, record keeping and reporting is expected. The administrative assistant must be highly organized. Competency in use of computers and appropriate software specific to the needs of the position is required. Must have access to reliable transportation and consistent attendance is required. Must be able to bend, stoop and lift up to 25 pounds. Classification Classified Reports To Regional Director of CTE and STEM Professional Responsibilities Perform duties of Secretary I/II/III Act as administrative assistant to the Regional Director of CTE and STEM and program Work effectively with CTE and STEM team Provide information and support to districts regarding ODE required data Prepare weekly financial reports of Federal Perkins grants and maintain and track budget codes for all grant funds Work independently and make appropriate decisions regarding work methods and priorities Represent department with a courteous helpful attitude toward all agencies and departments served Create and maintain professional development tracking records - subs, reimbursements, direct deposit, etc. Assist in budget management of grants or other revenue sources Process purchase requisition/pcards and orders, track receiving and invoices, and associated inventory reports Work to maintain an updated consortium handbook, consortium agreements, and contact information Support and assist in meeting planning including room reservations, catering, reimbursements, etc. Assist the STEM Hub coordinator with the STEM Lending Library maintenance - adding items to the Lend Items website, Google folders, etc. Communicate clearly and appropriately verbally and in writing with customers, employees and the general public using tact, courtesy and good judgment Communicate appropriately and regularly through use of email, Slack, Trello, etc. Respect and maintain confidential information in all situations Flexible work days may be available for summer teacher training (with extra pay) Fulfill other related duties as assigned Terms of Employment Salary, benefits and vacation are established by policy and collective bargaining agreement.
