- D aily administrative operation of one or more functional departments including managing and submitting invoices for approval for accounting.
- Provides department leader(s) with administrative support, including but not limited to: coordinating schedules and appointments, organizing travel arrangements, drafting documents, and establishing agendas.
- Fields direct calls, voicemails, emails, and direct requests from department managers and employees, as well as employees in other departments.
- Writes, edits, and proofreads department communications, interoffice and departmental handouts, letters, articles, and various types of correspondence.
- Analyzes unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to revise established procedures.
- Handles confidential material relevant to company operations.
- Conducts special analytical projects to assist professionals within the department.
- Arranges use of conference rooms and use of outside facilities.
- Collaborates with various staff and departments to complete special projects.
- Studies management methods in order to improve workflow, simplify reporting procedures, or implement cost reductions.
- Promotes a positive atmosphere and work environment in the department.
- May perform other job duties as assigned.
- Minimum of 2 years of experience within an administrative assistant role or business office experience.
- Previous leadership experience preferred.
- Excellent speaking and writing abilities.
- Familiarity with Microsoft Office products such as Teams, Outlook, Excel.
- Able to apply company policies and procedures to resolve issues.
- Able to prioritize and plan work activities as needed.
- Able to meet aggressive deadlines and handle multiple and complex projects.

We are currently looking for an Administrative Assistant to join our iPay team. This position requires one to be driven, motivated, and agile. This role will provide administrative support to executive leadership, department leads, and associates in daily tasks that ensure the office runs smoothly. In this position, you will serve as the point of contact for all the Louisville office functions. You will be an essential component to the success of the entire office. You will be responsible for organizing client meetings, processing invoices for payments, preparing written correspondence, and travel accommodations for leadership. There may be other special projects that you will work on such as presentations, employee fun events, and other cross-functional responsibilities.
This position will work in a hybrid model from our Louisville, KY office at least 2 days per week.
