- Actively manage calendars, monitor deadlines, book travel arrangements and order supplies.
- Attend team meetings, phone conferences, and training as needed or required.
- Review, submit and track invoices and expense reports.
- Open new matters and basic intake for agreements.
- Prepare, proof, and send documents, presentations, and outbound correspondence; receive, distribute, organize, and file inbound correspondence.
- Document organization and filing (including digital uploads to various systems).
- Referral source reviews.
- Prepare and distribute recurring and ad hoc reporting; manage and distribute contact lists.
- Plan and organize both small and large events.
- Establish a collaborative working relationship with members of the real estate legal team, the broader legal team (JLD), business clients, and outside counsel.
- Develop and execute various special assignments.
- Participate in process improvements and establishment of best demonstrated practices.
- Be an enthusiastic participant in the life of the JLD and JLD committees.
- Know, understand, and follow teammate guidelines, employment policies, and department or company procedures, including consistent, regular, punctual attendance as scheduled.
- Other duties and responsibilities as assigned.
- Experience as an administrative assistant.
- Excellent computer skills and proficiency in MS Word, Excel, PowerPoint, and Outlook required.
- Experience with Coupa, Concur, DocuSign, CoStar, and/or Salesforce (or similar systems) is a plus.
- Strong organizational skills, detail-oriented, ability to solve problems, understand needs, and explore new and creative ways of doing things.
- A positive work attitude and desire to grow in an organization, including a willingness and desire to learn new skills and get stuff done.
- Active listening and strong written and oral communication skills.
- Team oriented with a focus on collaboration and support.
- Ability to prioritize and work independently within scope of responsibilities and with minimal supervision.
- A good sense of humor.

- Associate’s or Bachelor’s degree preferred.

Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience.
