- Meet and greet the public in-person and phone in a professional and courteous manner stationed at the reception desk
- Answer multi-line telephone and forward calls to appropriate staff, including providing clerical support to various departments
- Manage visitor check-in process and maintain visitor logs
- Direct visitors to appropriate personnel and locations within the facility
- Maintain professional appearance and demeanor as the first point of contact for the organization
- Handle initial inquiries and provide general information about Wabash Center services
- Manage appointment scheduling and coordinate with appropriate staff members
- Assist in general office procedures including, but not limited to, distribution of daily mail, filing, and maintaining adequate inventory of office supplies
- Maintain office equipment and general cleanliness of lobby and reception area
- Provide clerical support to multiple departments as needed
- Prepare and distribute correspondence, memos, and reports
- Assist with document preparation, copying, scanning, and filing
- Maintain organized filing systems for administrative documents
- Coordinate office supply orders and maintain inventory levels
- Support communication between departments, staff, and external contacts
- Answer frequently asked questions from visitors, applicants, and community members
- Route messages and communications to appropriate personnel
- Assist with coordination of meetings and events
- Maintain and update contact lists and directories
- Handle routine administrative correspondence
- Monitor and maintain security of the front desk area
- Ensure the reception area is clean, organized, and welcoming
- Assist with special projects and events as assigned
- Provide backup support for other administrative functions during absences
- Maintain confidentiality of information for employees and individuals served
- Perform all other duties assigned by management
- Comply with all safety policies and procedures and report all unsafe working conditions and potential hazards to immediate supervisor
- High school diploma or equivalent required; Associate's degree preferred
- 1+ years of administrative or customer service experience preferred
- Strong written and verbal communication skills with professional demeanor
- Excellent interpersonal skills and ability to interact with diverse populations
- Proficient in Microsoft Office Suite Products and ability to learn new systems quickly
- Multi-tasking abilities and strong organizational skills
- Ability to work independently with minimal supervision
- Criminal history must meet Wabash Center standards and regulatory requirements
