      Job Description

      Performs primary and essential duties as an Administrative Assistant, to include a full range ofadministrative, clerical and office support for the Materials Management Department. SupportsAccount Payable and Contracting operations. Provides a helpful, courteous and positive attitudewhen greeting people entering the office or on the telephone. Materials ManagementAdministrative Assistant II enforces Materials Management’s vendor policies and assists inpurchase order processing. Assistant prepares reports and general correspondence for thedepartment. Assistant demonstrates understanding and knowledge of the use of computers andoffice machines in a business environment. Promotes and demonstrates strong customer serviceskills.

      SCHEDULE

      8:00 AM - 3:00 PM

      ESSENTIAL FUNCTIONS/PERFORMANCE EXPECTATIONS · Receives visitors, assists vendors with VCS check-in, and answers incoming calls.· Provides information in response to routine inquiries.· Prepares reports, correspondence and bid documents. Maintains files for correspondence,contracts, bids and purchase orders. Maintains and updates recall roster.· Sorts and distributes mail within the department. Takes minutes of department meetings.· Distributes product recalls.· Performs in Accounts Payable Coordinator capacity including invoice processing,statement research and vendor follow up.· Prepares contract upload templates and updates/maintains contract database as needed.

      EDUCATION AND EXPERIENCE· Must be a high school graduate or equivalent. Minimum of one year of work experiencein a related field. Working knowledge of Excel and Word.· Ability to operate office equipment and MMIS.· Good communication and interpersonal skills
