- Applying relevant policies, timelines, and procedures, and knowledge of collective agreements in academic HR processes
- Monitoring and supporting the Chair's correspondence and, drafting internal and external communications
- Implementing general administrative procedures and timelines
- Preparing draft statistical reports and summaries from data
- Organizing and executing departmental activities and events
- Ordering supplies within established limits
- Preparing official correspondence, memos, and letters of offer using templates
- Taking and distributing minutes from meetings
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum three (3) years' of related experience in an academic environment
- Intermediate experience with the use of Microsoft Office, including; Word, Excel, PowerPoint as well as Adobe and working with large databases
- Minimum two (2) years experience with maintaining information on digital platforms and websites for organizations
- Experience in the administration of University policies and procedures including academic human resource processes
- Minute-taking skills are required
- Experience determining and organizing logistical details for events
- Excellent organizational, prioritization, and time-managementskills required to coordinate multiple activities.
- Strong verbal and written communication skills, including superior proofreading and editing skills
- Good judgment, tact, and discretion in dealing with confidential information
- Effective problem-solving skills, and strong attention to detail
- Flexibility and adaptability in responding to changing conditions and requirements
- Ability to interpret policies and guidelines and develop processes and procedures
- Ability to deal courteously with faculty, staff, students, and public from a diverse population.
- Working knowledge of HTML, Illustrator, Photoshop, Acrobat Professional or similar web and graphic design software required
- Experience with University systems (FIS, ROSI/ACORN) or comparable systems

Your opportunity:
The Department of Psychology offers research-based BSc programs that focus on various aspects of behavior in humans and animals. The administrative team works collaboratively to meet the needs of faculty, sessional instructors, teaching assistants and students.
Under the general direction of the Department Chair and reporting to the Manager,- Finance & Operations, the incumbent will be responsible for providing confidential administrative and support the Chair's portfolio, including but not limited to assistance with faculty hiring, academic reviews, promotions , annual assessments, and research and study leaves. The Administrative Assistant also provides general administrative support to the Department of Psychology by providing a public point of contact for the department, by coordinating meetings and events, and by liaising with visitors and students.
