      Discovering your exciting role

      The Project Administrative Assistant will work directly with the project management team to help execute the project per the contract documents.

      Explore your tasks and responsibilities

      • Prepare project meeting agendas, attend project meetings as requested by PM and keep detailed meeting minutes for publishing to project team. Get PM’s approval before distributing.
      • Collect and review all new hire documents and scan to human resources. File in locked cabinet or office.
      • Verify weekly submission of employee hours for payroll.
      • Manage and order all office supplies.
      • Schedule and coordinate meetings, events and other similar activities.
      • Establish, maintain and update filing system for all project documents.
      • Assist other departments with document scanning and filing.
      • Receive orders into the ERP System.
      • Prepare business correspondence, agendas, and presentations, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook).
      • Answer incoming phone calls.
      • Receive all mail and prepare packages to be sent.
      • Other duties and responsibilities as assigned.
      • Maintains a thorough understanding of the Company/Owner contract and all project correspondence and documentation.
      • Develops and maintains continuous positive relationships with the Client and their representatives.
      • Monitors the training of all project staff personnel in coordination with Managing Director and with available programs.
      • Promotes positive staff morale, professionalism, and attitude and assists to resolve potential deficiencies when identified or perceived.

      Show your expertise:

      The ideal candidate will possess the following qualities and experience:

      • Foundational understanding or experience in the construction industry.
      • Proficient with MS Office applications (Word, Excel, Power Point, Outlook and MS Project) is a must.
      • Working knowledge of PDF editor and File Sharing a plus.
      • Proficiency in English language with excellent communication skills (written and verbal).
      • Excellent organization and attention to detail.
      • High energy level, self-motivated and directed, with a keen attention to detail.
      • Able to prioritize and execute tasks in a high-pressure environment.
      • Strong sense of urgency.
      • Very strong customer-service orientation.
      • High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
      • 2+ years’ business administrator experience required.
      • Bachelor’s Degree in Business Administration or related subject.

Safety glasses and other required safety protection should be worn when out in the manufacturing facility, which may vary depending on the area you are working/visiting.
