      The Department Support Coordinator provides administrative support to the department staff in the areas of front desk reception, calendar scheduling, office supplies, travel coordination, and reimbursements. The Department Support Coordinator works closely with faculty members, staff, students, visitors, and guests. The Department Support Coordinator also serves as the initial point of contact for external constituencies, such as vendors and service providers, who are visiting or delivering services to the department.

      Responsibilities:

      • Greets visitors and answers telephones; informs appropriate person of visitor’s arrival
      • Monitors conference room reservations and ensures proper set up of rooms
      • Orders office supplies and keeps track of inventory
      • Manages copy machine maintenance and repair requests
      • Oversees departmental mailboxes and distributes mail
      • Tracks and submits departmental courier pickups
      • Assists with scheduling catering and special events.
      • Manages calendars and coordinates meetings and appointments
      • Sorts incoming and outgoing mail
      • Drafts correspondence and responses to email messages as directed
      • Develops presentations and handouts as instructed
      • Maintains confidentiality of sensitive information; handles all matters discreetly and with integrity.
      • Maintains departmental budgetary records and processes reimbursement requests
      • Assists with processing departmental purchases and payments; codes expense reports and creates purchase orders


      Qualifications:

      • Bachelor's degree in Business Administration, Communications, or related field preferred.
      • Two years of experience working in an administrative role at an academic institution, preferably within a university or college setting. Demonstrated proficiency in Microsoft Office Suite applications (Word, Excel, PowerPoint, Access), Adobe Acrobat DC, and PeopleSoft HRMS. Experience using Workday preferred.
      • Excellent written and verbal communication skills, strong organizational and time management skills, attention to detail, ability to work independently, and willingness to learn new systems and technologies.
      • Ability to manage multiple projects simultaneously while meeting deadlines and prioritizing tasks effectively.
      • Strong customer service orientation and professionalism.
      • Familiarity with the policies and procedures of an academic environment.
      • Ability to establish and maintain effective relationships with internal and external stakeholders.
