- Ensure the smooth flow of information and that action items or issues are dealt with as per established deadlines. Prioritize and delegate urgent issues to appropriate Manager(s).
- Be responsible for general administrative services and office management within the business unit.
- Be responsible for producing and managing sensitive material for management teams within the business unit.
- Identify opportunities to streamline services and processes.
- Manage the heads of the business unit’s schedules, responding to their direction or based on the job holder’s knowledge of the operation’s requirements and priorities.
- Prepare briefing materials prior to applicable scheduled meetings to ensure management is properly informed.
- Daily communication with internal and external contacts, typically at the senior management level and within the respective management team. Monitor the follow-up to applicable stakeholder inquiries to ensure timely and comprehensive response.
- As a point of direct contact with external stakeholders, the incumbent has an active role in the fostering/promoting of the NAV CANADA brand.
- Community College Diploma or Undergraduate degree in administration or related field. In lieu of the diploma/degree, a combination of a minimum of 3 years administrative and/or office experience is acceptable.
- In depth experience and knowledge in the area of senior management responsibilities and general office management.
- Knowledge of industry, principal contacts/stakeholders and corporate hierarchy.
- Previous experience in aviation or safety sensitive industry is considered an asset.
- Experience preparing and laying out correspondence and quality presentation materials is an asset.
- Excellent attention to detail.
- Strong verbal and written communication skills.
- Strong interpersonal skills, ability to influence, tactful, diplomatic, discrete, dependable and displays good judgement.
- Shows initiative, autonomy, and possesses self-managing skills to work independently with minimal direction.
- Adaptable with flexibility to respond to shifting priorities and tight deadlines. Works well under pressure.
- Strong planning, organizing, and prioritization skills.
- This position is eligible for a flexible work arrangement.
