      Position Summary

      QCH's Beacon program provides free, year-round programming for youth ages 6-21 with a particular focus on leadership development and skill building. Our Beacon also includes an afterschool program for middle school students, Saturday programming for elementary school children, and evening programming for teens. The Beacon is also available for use by community members and groups. The Administrative Assistant will perform a variety of administrative and supervisory duties that include providing support to our department staff and participants, and assisting in daily program needs in alignment with our overall agency's administrative activities.


      Responsibilities

      The Administrative Assistant is a key member of QCH's Youth Workforce Division team to interface with the New York City Department of Youth and Community Development, participants, community members, and employers; exemplifying a professional demeanor, communicating effectively, and providing appropriate coaching to staff and participants. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the Beacon by handling office tasks, providing polite and professional assistance via phone, mail, and email, making reservations, or travel arrangements, and generally being a helpful and positive presence in the workplace.

      • Assist in onboarding new program staff in accordance with Human Resources and agency guidelines.
      • Participate in pre-program training, and ongoing professional development and coaching as requested
      • Assist with program enrollment, ensuring all documentation is current and accurate to DYCD and Department of Labor regulations.
      • Ensure accurate record keeping of expenditures and supply procurement.
      • Executes weekly accurate program payroll.
      • Adhere to policies and procedures, maintaining a safe working environment, and prioritizing the safety of participants.
      • Create of environment of high expectations for participation and effort.
      • Build positive relationships with all key stakeholders, i.e. staff, employer partners, and participants.
      • Represent the agency professionally internally and externally.
      • Other duties as assigned by supervisor.
