Job Description

- Answers telephones and directs calls accordingly, in a timely, courteous, and positive manner.
- Receives public questions, provides answers and solutions, in person and by telephone; responds to inquiries from employees, citizens and other and refers, when necessary, to the appropriate person or department.
- Accepts and processes program registrations, rental reservations and approved refunds utilizing the City’s RecTrac software.
- Greets, sign in and direct patrons upon arriving to facility.
- Records facility attendance.
- Assists with purchasing and accounts payable functions related to the department to include entering purchase requisitions, monitoring purchase orders, and reconciling invoices.
- Operates office machines as required.
- Receives, sorts, and distributes incoming mail.
- Duplicates, scans, and distributes documents.
- Composes, types and edits correspondence, reports, memos, and other material as needed.
- Assists in the development of notices, flyers, brochures, newsletters, media releases, news articles, and other informational material about programs and services.
- Provides front desk operations training to department employees.
- Performs other related duties as required/assigned.
- High School Diploma or GED.
- Three (3) years of experience in an administrative position.
- Must possess FEMA 100, 200, and 700 certifications, or the ability to obtain within the first six (6) months of employment.
- Driver’s license with an acceptable driving record.
- Knowledge of department practices and policies.
- Skill in Microsoft Office and Excel.
- Skill in the use small office equipment, including copy machines or multi-line telephone systems.
- Skill in using computers for data entry.
- Skill in using computers for word processing and accounting purposes.
- Ability to meet the public and establish effective working relationships with City employees, employees of other agencies, and the public.
- Ability to multi-task and maintain complex records and prepare accurate reports.
- Ability to work independently with little supervision.
- Ability to maintain confidential information.
- Work environment is typically performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.
- The work is sedentary work and requires exerting up to 10 pounds of force occasionally and negligible amount of force constantly to move objects.
- Additionally, the following physical abilities are required: manual dexterity, hearing, mental acuity, repetitive motion, speaking, talking, and visual acuity.
