      PURPOSE: To assist President, Executive Vice President with Administrative Support.

      DIMENSIONS:

      • Responsible for accurate, timely processing of correspondence and reports
      • Responsible for multi-facets of executive administration support
      • Must possess strong communication skills and utmost professionalism.


      DUTIES:

      • Answer phones, take messages and/or direct calls to appropriate person/department for Administration and transfer calls to appropriate departments as necessary.
      • Greet members, vendors, delivery persons, while always following safety protocols; handle business or direct to appropriate personnel.
      • Issue, record, and track Visitor and Temporary Badges as needed.
      • Field incoming calls and disseminate them to the appropriate department/employee when warranted.
      • Maintain department files.
      • Order office supplies and maintain upkeep of office machines when required.
      • Receive and process incoming mail.
      • Review invoices and provide approval for submission to EVP for payment.
      • Assist with vendor management functions.
      • Prepare for meetings/trainings as necessary (refreshments, meal set-up, etc.).
      • Call in/confirm settlements as necessary for Accounting Department (from SVP/CFO or VP Investments).
      • Check receipts and prepare expense reports as necessary.
      • Log in/distribute monthly reports, make follow-up copies as necessary for Executive VP.
      • Make employee travel arrangements for Executive VP approved.
      • SECU travel.
      • Perform any other related jobs/duties/reports as assigned.

      REQUIREMENTS:

      • Ability to communicate effectively, considerable knowledge of office management procedures, office equipment, extreme accuracy and concern for detail aspects of related jobs.
      • Proficiency in Microsoft Office applications and tools.
      • Must be an efficient typist, able to produce written materials with a minimum of errors.
      • Ability to keep confidential records.
      • High School graduate or equivalent experience.
      • Neat, professional appearance.
      • Must obtain good basic secretarial skills and PC skills.
      • Must have ability to set priorities as well as take care of routine matters.
      • Must possess high level of self-control and calm under pressure.
      • Must be honest, dependable and alert.
      • Must have initiative and be well organized.
      • Must be neat, professional, dependable and punctual.
      • Must be able to speak English fluently.
      • Must use proper procedures and methods to perform tasks quickly and accurately.
      • Must use tact and good judgment in dealing with problems.
      • Must communicate effectively with all types of people.
      • Must maintain composure and a helpful, courteous attitude in handling members and individuals outside the Credit Union.
      • Must be able to cooperate and collaborate with co-workers.

      JOB ENVIRONMENT:

      • Office setting with physical proximity to other employees.
      • Some background noise from other employees, copy machine, and telephone.

      PHYSICAL DEMANDS:

      • Must be able to comprehend and carry out verbal and written instructions.
      • Job requires a substantial amount of sitting.
      • Use hands and fingers to press keys on a computer keyboard to enter or retrieve information.
      • Use hands and fingers to press telephone key pad and lift telephone receiver.
      • Must be able to comprehend phone calls.
      • Must be able to lift 10 pounds.
