- Provide professional and welcoming atmosphere for the Ranch Office
- Facilitate internal Ranch communications via email, postings, memos, etc.
- Maintain electronic and paper files
- Maintain office tools and supplies inventory
- Assemble weekly bank deposits and balance monthly statements.
- Maintain vehicle keys and gate keys organization.
- Process accounts payables weekly
- Reconcile all account receivables
- Reconcile account statements from vendors.
- Create new vendor accounts as needed and obtain W-9 forms for new vendors.
- Process new hire I-9 paperwork as needed
- Log vehicle maintenance and utility expenses.
- Learn and work within Vena and Concur accounting systems.
- Pick up ranch mail as needed, sort and label USPS, FedEx, UPS packages.
- Assist with monthly tax reports.
- Assist with annual budget as needed
- Assist with annual fleet vehicle registrations and insurance.
- Assist with monthly fuel reports and invoices.
- Assist with HR inquiries.
- Other duties as assigned by the Administrative Manager or Ranch Manager
- Must adhere to Company and Ranch policies and procedures, which are included in the Company’s Employee Handbook.
- Must present documentation establishing both identity and employment authorization within three days of hire, pursuant to federal law.
- May be subject to undergo pre-employment drug test, (after offer is given but before applicant has commenced work). Random drug test are given throughout the year.
- Must have a personal vehicle to travel from ranch location to local town for personal needs.
- The Company operates as a drug free/smoke free workplace. Smoking is not allowed on the ranch property, to include but is not limited to; ranch housing, ranch vehicles, ranch offices or on ranch machines.

LOCATION SUMMARY
At 561,000 acres, Vermejo Park Ranch is one of the largest privately-owned ranches in North America. Its modern history as a ranch originates from the Beaubien and Miranda Land Grant of 1841. Vermejo Park is well-known for its trophy big game hunting, fishing, adventure and nature tourism, natural resources stewardship, Castle Rock bison herd, sustainable forestry, coalbed natural gas production, and endangered species restoration.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Administrative Assistant will report to the Administrative Manager and work closely with Ranch Staff, the TEI Bozeman Administrative Office and the TEI Atlanta Corporate Office (Controller, Human Resources and Risk Management). The following are duties that will be performed:

This job does not have supervisory responsibilities.
COMPETENCIES AND CHARACTERISTICS
Must demonstrate close attention to detail; must exercise discretion, tact and diplomacy; and must maintain confidentiality. Must be a self-starter and self-motivated with the ability to work under minimal supervision and act independently in the absence of a supervisor. Must be able to follow instructions, respond to management direction, perform duties as assigned, and commit to long hours when necessary to meet goals. Must exhibit sound and accurate judgment, use time efficiently, be able to adapt to changes in the work environment, and work well with others.
EDUCATION AND/OR EXPERIENCE
College education in business desirable, though not required. Minimum of 3 years general office experience required. Proficiency with Microsoft Office Suite, Word, Excel, and Power Point required. Experience with general office equipment required. Accounting or Bookkeeping experience desirable.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
MATHEMATICAL SKILLS
Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to solve practical problems as well as the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
CERTIFICATES / LICENSES
If position requires operation of a vehicle, must possess a valid Driver’s License or be able to obtain one within 30 days of employment. Driving record must meet the standards and requirements of the Company and the Company's insurance carrier.
