      Under general supervision, the Executive Administrative Specialist is responsible for providing professional staff support of routine through average difficulty in assisting an executive by handling administrative details and performing related duties as required. The role involves acting as a liaison between the executive's office and various governmental, community, and organizational entities, managing communications, and overseeing administrative tasks.

      Key Responsibilities:
      1. Administrative Support:
        • Relieve the executive of administrative details, handling routine correspondence and composing replies.
        • Prepare non-routine correspondence, reports, and documents as requested.
        • Assemble information for speeches, staff meetings, and other purposes.
        • Take minutes at staff meetings when required.
      2. Liaison Duties:
        • Serve as a liaison between the executive's office and the governor's office, departmental staff, other state and local agencies, federal agencies, and community organizations.
        • Attend legislative functions, meetings, receptions, luncheons, dinners, and other events to gather information and represent the executive.
      3. Complaints and Requests Handling:
        • Address complaints and requests from members of the legislature, other departments, citizens, and employees, ensuring timely and appropriate responses.
      4. Staff Supervision and Training:
        • Assign, train, supervise, and evaluate the work of clerical and other staff.
        • Make recommendations on personnel actions such as hiring, promotions, demotions, transfers, and retention.
        • Recommend increases for exceptional performance.
      5. Travel and Expense Management:
        • Make travel arrangements, including scheduling and booking transportation and accommodations.
        • Manage and maintain expense accounts, ensuring accurate and timely reporting.
      6. Office Management:
        • Order and maintain office supplies, ensuring the office is well-equipped.
        • Operate standard office machines and equipment as necessary to complete tasks.

      Qualifications:
      • Education:
        • Graduation from an accredited college or university with a bachelor's degree is preferred.
        • Relevant full-time, increasingly responsible sub-professional, paraprofessional, or professional experience may be substituted for the required education on a year-for-year basis, up to a maximum of four years.
      • Experience:
        • Prior experience in an administrative or support role is highly desirable.
        • Experience in a governmental or public sector environment is a plus.
      • Skills and Abilities:
        • Strong organizational and multitasking skills, with the ability to handle various assignments and prioritize tasks effectively.
        • Excellent written and verbal communication skills, with the ability to compose and edit correspondence and documents.
        • Proficiency in using standard office software and equipment.
        • Strong interpersonal skills, with the ability to interact professionally with various stakeholders.
        • Attention to detail and a high degree of accuracy in work.
