      Overview

      Heritage Christian Services is seeking candidates for the Administrative Assistant position. In this role you will be responsible for providing administrative support to employees of Heritage Christian Services. These duties include but are not limited to: entering and maintaining information into multiple databases, office supply and toner supply purchasing, typing, filing, faxing, and receptionist duties.

      Pay rate for this position: $ 17.60 - 20.53 / hour

      The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above range represents the organization's good faith and reasonable estimate of the range of possible compensation at the time of posting

      Responsibilities

      • Provide administrative support including but not limited to the coordination of large mailings to include mail merge, printing and postage, data base maintenance, and assistance with meeting room reservations.

      • Provide daily lunch, breaks and vacation coverage for the receptionist; greet incoming visitors, answer and route calls, take messages, distribute incoming mail and prepare outgoing mail, distribute incoming deliveries.

      • Prepare and track outgoing Federal Express deliveries and certified mail as needed.

      • Order office and café supplies; maintain a well-stocked and orderly mailroom, supply closet and café.

      • In collaboration with the Director of the Life Center maintain the Fitness Room equipment. In collaboration with maintenance the Maintenance Assistant and our janitorial provider, ensure cleanliness of the Fitness Room.

      • Act as liaison with café vendor, janitorial provider, and water cooler vendor.

      • Maintain postage machine, order postage supplies.

      • Provide administrative support for strategic projects including Project Managers’ meetings, provide or coordinate training for Teamwork Project Management Software. Monitor Teamwork activity related to Strategic Project work.

      • In conjunction with the Executive Assistant, administer Sonitrol FOB and door access for corporate and regional offices.

      • Responsible for supporting special projects, events and meetings as needed.
    • Qualifications

      • Associates degree required; minimum of three (3) years of related administrative support experience.
      • Proficient in Microsoft Office Suite
      • Ability to learn new software applications quickly
      • Multi-line phone experience preferred
      • Ability to multi-task and demonstrated focus on attention to detail
