- Maintain NIWC Pacific directives to ensure they are current and accurate by socializing such directives with NIWC Pacific employees
- responsible for maintaining the command directives instruction NIWCPACINST 5215.1E by creating and updating directives to ensure current edition.
- Analyze existing instructions for conflicts and/or overlap with existing guidance
- instructions/policies, and completeness, accuracy, and clarity.
- Initiate and oversee the revision of directives and associated forms.
- Assist directive originators during the updating process.
- Post draft directives in electronic form for comment in compliance with the process developed.
- Collect, compile, coordinate, and incorporate employee comments and changes required.
- Keep directive reviews on schedule with existing Plans of Action and Milestones
- Perform clerical work; type or retype instructions, make copies, file instructions, scan documents, post-draft instructions for comment, monitor and incorporate the comments
- Track the status of directives in appropriate databases and maintain any necessary files
- Use Microsoft Word, Access, and Outlook, and be knowledgeable in attaching, uploading, and downloading files in automated systems
- Create, maintain, and update NIWC Pacific official and unofficial forms. Ensure forms are current and accurate by socializing such forms with NIWC Pacific employees
- Connect all command forms to command instructions, identify gaps in forms without supporting guidance, and track the status of directives in a database to maintain necessary files.
- Create new forms and revise, modify, and update existing forms using Adobe (or otherwise as directed) software.
- Ensure forms that require Social Security numbers and other Personal Identifying Information (PII) are protected from improper disclosure, which risks substantial harm to individuals.
- responsible for maintaining the Forms Library website by posting approved forms on the HUB and deleting and canceling obsolete forms
- Work closely with the Directives Manager to assist customers with form creation, design, and/or revision to comply with the approved instructions and directives.
- Perform clerical work such as formatting briefs and documents across the division, making copies, filing forms, and scanning documents. Maintain all electronic and hard copies of forms
- Directly communicate with form originators regarding the requirements and purposes of the form.
- Ensure that form formats are per Navy policies and guidance
- Active Secret Clearance
- Bachelor's degree in accounting, Finance, Economics or Business Administration.
- Ten years of experience in Navy directives and instruction management
- Subject Matter Expert (SME) in Navy Standard Subject Identification Code (SSIC)
- Expert written and verbal communication skills.

ADMINISTRATIVE ASSISTANT
Job Purpose
In addition to secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements), this position will provide administrative support to executive staff with office management responsibilities, including budgeting, personnel records, and payroll. The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
Job Duties And Responsibilities
Drug and alcohol abuse is highly detrimental to the health and safety of employees in the workplace. This policy is intended to comply with the Drug-Free Workplace Act of 1988 and implements random alcohol and drug testing as required under federal regulations. If any portion of this policy conflicts with federal or state regulations, the federal or state regulations shall prevail.
All job applicants are subject to drug and alcohol testing. Any offer of employment is contingent upon such applicant testing negative. No such person shall be permitted to begin work until his or her test results have been obtained. No applicant will be hired if the individual tests positive for drugs or alcohol, except for a previously disclosed legal drug that a licensed physician has prescribed for a then-existing injury or illness. Before an alcohol or drug test is administered, the applicant must sign a Leo Tech, LLC consent form authorizing the test and permitting the release of test results to the Medical Review Officer (MRO) and the designated Human Resources Representative. Failure to sign the release or cooperate in test procedures shall be deemed a withdrawal of the employment application.
