      The Internal Services area of Human Services Public Health (HSPH) is seeking a creative, detail-oriented, highly organized Senior Administrative Assistant. This position will work closely with the area director and senior leadership in a fast-paced environment to lead, support and improve department operations. An administrative professional will provide the director and area leadership with planning, coordination and execution of the area’s vision and strategy. They will provide guidance, problem solving, and consultation on program development, project management, process improvement, planning, facilitation, research, and other technical services. This role will support three areas of Internal Services: Compliance and Operational Excellence, Organizational Effectiveness and Talent Management, and Strategic Systems Leadership.

      Candidates for this position must be focused, resourceful, responsive, and able to perform their duties with a high level of autonomy and minimal supervision.

      Location and hours:
      This position is hybrid and will be performed primarily at the Hennepin County Government Center 300 South Sixth Street, Minneapolis, Minnesota, 55487 and other Human Services Center buildings across Hennepin County and remote as job duties require. Work hours are flexible, typically Monday through Friday, between 8 am - 4:30 pm. While this position is hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.

      New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

      In this position, you will:

      • Prioritize and coordinate the director’s schedule and daily projects.
      • Provide administrative oversight and executive communications.
      • Coordinate administrative processes with labor relations, human resources, and other county administration offices.
      • Partner with and support senior leadership across Internal Services with various duties.
      • Provide guidance, problem solving, consultation on program development, process improvement, planning, facilitation, research, and other technical services.
      • Support the portfolio: work environment and technology, project management, communications, data and compliance, systems alignment, engagement (community and internal), talent management, staffing management and payroll teams.
      • Facilitate various leadership meetings and associated responsibilities.
      • Lead special projects for department wide and Internal Services (employee performance review reminders, background check billing).
      • Maintain comprehensive and accurate records, expense and budget reconciliation.
      • Plan for data needs; collect, analyze, interpret, and utilize data; make recommendations for improvement.
      • Participate the following initiatives: Diversity, Equity and Inclusion, Continuous Quality Improvement (CQI), Collaborative Safety, International Association of Public Participation (IAP2), Person Centered Thinking (PCT), Racial Equity Impact Tool (REIT), Disparities Reduction, Trauma Informed department practices.
      • Update and maintain the Internal Services SharePoint site.
      • Analyze data to support the area’s results-based accountability metrics for the Director Dashboard
      Need to have:
      One of the following:
      • Eight years or more of general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position.
      • Bachelor's degree or higher in public administration, business administration or related field and four years or more of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.
      Nice to have:
      • Experience:
        • Using SharePoint, Microsoft Teams, MS Word, PowerPoint.
        • Facilitating meetings both in-person and virtually.
        • Researching or locating information about subject matter with minimal direction.
      • Ability to:
        • Navigate change and ambiguity and make decisions and act without having the whole picture.
        • Working in a fast paced, dynamic environment while being highly organized, detail oriented and managing conflicting priorities.
        • Work independently and as part of highly diverse teams.
        • Build and maintain trusting, collaborative, and effective relationships with employees at all levels, residents, and business partners.
        • Conduct needs analysis, identify problems, recommend actions and solutions with direction and some independence.
        • Balance the need for quality and precision with the overall goals of a project.
        • Take direction, pivot and adjust to ensure alignment.
