      ADMINISTRATIVE ASSISTANT

      Homes for the Homeless is seeking a proactive and detail-oriented Administrative Assistant to support the management team in our busy residential facility for families. The Administrative Assistant is responsible for directing calls, timekeeping, tracking financial transactions, maintaining records, and carrying out compliance protocols.

      Homes for the Homeless operates shelters for families experiencing homelessness in NYC. Our family residences are more than just a place to sleep. Families can make the most of their stay through accessing an array of onsite programs. Many of these programs are also available to people living in the local community. Our goal is to have a positive impact so families can thrive long after they leave our shelters.

      ESSENTIAL DUTIES AND RESPONSIBILITIES

      • Review and process time cards for bi-weekly payroll.
      • Oversee all payables and receivables through collaboration with the central office.
      • Assist Facility Administrator with the management of cash flow and petty cash.
      • Assist in the management of office systems, equipment contracts, and vendor contracts through collaboration with the central office Building Management.
      • Ensure correct DHS billing.
      • Maintain personnel records including annual health records, training certifications, security clearances, hiring packages.
      • Coordinate fingerprinting appointments with DOI and DOH for new hires.

      QUALIFICATIONS

      • A satisfactory combination of experience and education.
      • Intermediate skills with Microsoft Office applications preferred.
      • Familiarity with multiple aspects of office management and/or human resources operations, such as payroll, leave administration and benefits.
      • Ability to prioritize assignments and handle multiple tasks with strong organization and time management skills.
      • Knowledge of ADP-Workforce Now.
      • Excellent communication skills
