      The Transit and Mobility department in Hennepin County’s Public Works line of business is seeking to hire an Administrative Assistant. This position would manage administrative tasks associated with scheduling, budget analysis and preparation, accounts payable and contracting, compose letters, process forms and other administrative tasks as needed to help support the Transit and Mobility team to operate efficiently and effectively.

      Location and hours:
      This position is hybrid and will be performed both onsite at 6465 Wayzata Boulevard, St. Louis Park, Minnesota 55426, and remote as job duties require. Work hours will be Monday through Friday, 8 a.m. to 4:30 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.

      New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

      In this position, you will:
      • Work closely with project partners, consultants, and stakeholders on communication efforts for the department.
      • Organize and schedule meetings between department leadership and project stakeholders.
      • Coordinate across governmental organizations, consultants, and county departments to manage communication to ensure continued progress of various cross functional work.
      • Work closely with leadership to prepare materials for varying internal and external meetings.
      • Complete administrative work relating to managing and budgeting contracts.
      • Develop and assist with the creation of communication materials for the department.
      • Help identify policy and practices to support on-going work of the department.
      • Help track and manage Board Actions as they move through the county approval process.
      Need to have:
      • One of the following:
        • Four or more years of experience in general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position. Note: General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.
        • Bachelor's degree or higher in business administration, urban studies, public administration, communications, or other field appropriate to the position.
        Nice to have:
        • Experience:
          • Providing administrative support to government organizations.
          • Planning, scheduling, and moderating virtual and in-person meetings and events.
          • Creating materials for public facing, external partners, and internal meetings.
          • With transit planning and projects across the Twin Cities metro area.
        • Ability to:
          • Organize tasks efficiently, multitask, and prioritize effectively.
          • Demonstrate strong attention to detail.
          • Work with various computer applications including Adobe, SharePoint, and Microsoft Office (Teams, Word, Excel, PowerPoint, etc.)
        • Effective written and verbal communication skills.
