      Description

      Position:

      Data Entry and Administrative Assistant

      Reporting:

      This position reports to the Business Manager

      Classifications:

      Salaried, non-exempt

      Job summary:

      Perform clerical, data-entry, and bookkeeping assignments

      Duties/Responsibilities:

      • Complete clerical duties such as answering door or phone, filing, data entry, mailing, and copying.
      • Work with agency staff to collect rosters and documentation, ensuring all documentation is completed appropriately including verification of signatures, dates and notarization as needed.
      • Scan, upload and file documents as indicated in program policy.
      • Work with Business Manager to complete data entry of rosters for programming into the agency’s client database.
      • Generates summary sheets of financial data to be used by leadership.
      • Complete financial tasks as assigned by Business Manager and Senior Accountant.
      • Oversee the maintenance of the Tulsa location by communicating with Operations Manager regarding issues or repairs as they arise, and coordinating or completing repairs as necessary.
      • Protect organization's value by keeping information confidential.
      • Assistance with childcare at some activities.
      • Some driving may be required.
      • Other duties as assigned.

      Financial Justification for the Position:

      The position is funded through agency revenue. There are sufficient funds through earned income, government grants and contracts and charitable contributions for this position.

      Education/Training:

      High School diploma or GED.

      • Deadline-oriented with good attention to detail
      • PC proficiency
      • General math skills
      • Proficient in Microsoft Excel
      • Strong organizational skills
      • Ability to work with the team toward a common a goal
      • Ability to use discretion when discussing sensitive or confidential information
      • Ability to schedule and multitask with good time management
      • Excellent oral and written communication skills
      • Good problem-solving skills
      • Willingness to familiarize self with policies and procedures of Lilyfield as well as requirements of other governing agencies
      • Meet requirements of licensing standards in regard to criminal background check.
      • Be physically, mentally and emotionally capable of performing the assigned tasks and have the skills necessary to perform assigned tasks.

      Experience:

      At least one year of administrative, medical billing or clerical experience, depending on educational background.

      Physical Requirements:

      Ability to sit at a desk and work on a computer for most of the day.
