      Responsibilities

      Job Summary

      General office support including data entry, record keeping, answering phones, and filing, obtaining and recording lab and test/procedure results. Scheduling tests, procedures, and appointments. Preparation of patient charts or reports for transplant clinic, as well as preparing information packets, agendas, charts or reports for department/ Strong verbal skills and written communication skills. Other responsibilities as directed. Direct patient interaction is provided to patients of all ages.

      • Obtain and document medical records for established patients, referrals, procedures, or ancillary services.
      • Communicate clinical information from medical records with transplant staff to ensure records are transcribed into the transplant database.
      • Secure complex prior-authorizations for services, medications, or testing and track the authorizations for renewal.Provide administrative support for the adult heart and lung transplant clinics under the direction of the clinic nurse manager.
      • Provide patient services coordination, document coordination, and insurance authorizations prior to scheduled testing and procedures
      • Provide administrative support to the clinic patients and staff; to include maintaining and coordinating patient files/charts, lab requests, lab work reports, insurance cards, and any prior-authorizations required.
      • Support the transplant service line through the organization of general office procedures; to include efficiency in telephone messaging, Prepare and distribute “on call schedule” for transplant teams
      • Utilize the transplant database for information management.
      • Manage a high volume of phone calls, triage each call, and prioritize the calls making sure they are directed to the appropriate staff member.
      • Schedule appointments and follow up testing, confirm patient appointments.
      • Set up charts for new patients.
      • Manage and organize team members calendars, including coordination and scheduling of meetings- both with external and internal team members
      • Maintain office and kitchen area, to include ordering of office and kitchen supplies
      • Calls patients to schedule procedures and give instructions over phone with follow-up letter with instructions.
