- Hours: Generally, Monday through Friday, 9:00 a.m. to 5:00 p.m., with occasional extended hours for events and key activities.
- Environment: Typical office setting, with local travel for meetings, events, and volunteer activities.
- Equipment Used: Computer, Microsoft Office Suite, cell phone, and standard office equipment.
- Provide administrative support to the CDO, including managing calendars, meetings, travel, and documents.
- Maintain donor records in the CRM, run reports, and ensure timely acknowledgments.
- Research donors and prospects to support fundraising and stewardship efforts.
- Help coordinate fundraising campaigns, mailings, appeals, and track donations.
- Organize meetings and events, handling logistics like venues, catering, and materials.
- Prepare agendas, take meeting minutes, and manage follow-ups.
- Support special projects, manage multiple priorities, and meet deadlines independently.
- Keep team supplies stocked and assist with marketing materials.
- Process expense reports and check requests.
- Respond promptly to Development emails and calls.
- Handle confidential donor information with care.

- Experience: At least 3 years of administrative support experience (5+ years preferred), ideally in nonprofit fundraising, development, or event coordination.
- Education: Associate’s degree in Business Administration, Communications, or a related field.
- Skills:
- Exceptional written and verbal communication skills.
- Strong organizational, research, and project management abilities.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, Teams, Canva, and project management tools.
- Familiarity with donor management or CRM systems is a plus.
- High level of professionalism, discretion, and dependability.
- Ability to prioritize, handle multiple tasks, and thrive both independently and as part of a team.
- Passion for Easterseals PORT Health’s mission and willingness to support events outside typical office hours, including evenings and weekends.
