      DEVELOPMENT ASSOCIATE

      The San José Museum of Art (SJMA) has an exciting opportunity for a Development Associate to join the Development team as an administrative support to help lead SJMA into its next chapter, re-imagining the Museum for the audience of the future. This enthusiastic, organized, ambitious, light-hearted individual will bring excellent written and verbal communication, sophisticated interpersonal skills, remarkable attention to detail and strong administrative proficiency . This role supports the Development Department and brings a “can-do” attitude.

      This position supports the department’s internal systems, structures, and processes that enable the Development and Membership team to meet and succeed budget and operational goals while maintaining the highest standards of donor satisfaction and overall growth. The Development Associate serves as part of the administrative backbone for a small and energetic staff.


      This is a hybrid position. During onboarding, a temporary need for five days per week on-site will be necessary. After training, the standard on-site requirement is three days per week, with occasional need for overtime or weekend presence, based on events and priorities.


      DUTIES AND RESPONSIBILITIES include but are not limited to:

      Administration

      Provide overall administrative support for the department, including scheduling meetings and rooms, pulling address lists and managing mailings, word processing, copying, record keeping, etc.

      Facilitate the weekly Development Department meeting by scheduling, preparing agendas, and recording minutes/action items

      Provide administrative support for Development, Gala, and Councils Committees by managing calendars for important dates/deadlines/reminders; scheduling meetings and updating appointments in Outlook (and in Altru as needed); and preparing meeting materials, including agendas, packets, rosters, mailing lists, and minutes

      Monitor and update the content of all “Join + Support” pages on SJMA’s website

      Manage the department telephone line, voicemail, and email account

      Support the ongoing maintenance of the Museum’s CRM and hard files to ensure data integrity and consistency

      Uphold SJMA’s top-level compliance standards by maintaining accurate financial records, ensuring strict donor confidentiality and data security, and participating in the Museum’s annual audit process

      Fundraising

      Support fundraising activities by monitoring monthly pledge receivables and preparing contribution invoices and summaries for Trustees, Acquisitions Committee, and major donors

      Facilitate and track donor and prospect move management for active cultivation, solicitation, and stewardship by Trustees, Executive Director, Chief Philanthropy Officer, Deputy Director, other Development staff, Gala co-chairs, and Development Committee members

      Update and maintain accurate and consistent donor records in the Museum's database, including documenting meeting debriefs, correspondence, and upcoming actions

      Maintain and update all portfolio assignments in CRM

      Develop accurate and timely fundraising reports from database

      Help to identify and flag prospects for higher level gifts by recognizing changes in giving patterns, wealth screenings, and additional background research for prospects

      Create briefing papers and constituent profiles for development meetings and events

      Assist with preparation of proposals, donor communications, and other materials as needed.

      Development Stewardship and Compliance

      Adhering to SJMA’s Gifts Policies and Procedures, support fundraising team by creating gift transmittals and ensure that all gifts of $500+ are submitted for timely and accurate entry

      Working closely with the Development and Finance Assistant, ensure that all donors receive appropriate, well-written, and prompt acknowledgement of their contributions

      Regularly review and update acknowledgement letter templates for the Development and Finance Assistant to process

      Update and maintain institutional, exhibition, and program credit lines through regular review and tracking against fundraising records

      With guidance from development colleagues, prepare the annual donor list for the Museum’s donor wall and annual report

      Prepare $5K+ giving report for board meetings

      Support Executive Assistant with board meeting set up and materials, as needed

      Events

      Assist with donor and member events, including the annual Gala + Auction, by:

      Maintaining the department’s events calendar and ensuring all events are accurately recorded and up to date on the organizational calendar

      Pulling and formatting invitation lists for digital and print mailings and related communications

      Preparing nametags; managing event RSVPs and registration; setting up check-in table and lists; recording guest participation and outcomes in CRM

      Preparing attendee bios and distributing in advance of events to executive director, senior staff, curators, development committee, and others as appropriate

      Providing other event support, as needed

      QUALIFICATIONS:

      BA/BS preferred, plus two or more years of experience working in development operations or non-profit administration, or equivalent combination of education and experience.

      Excellent written and verbal skills.

      Highly organized, with strong work ethic and ability to manage time and priorities independently

      Keen attention to detail and capacity to quickly understand and remember information about donors, museum exhibitions, public programs, and events.

      Ability to thrive in a fast paced, challenging, and rewarding environment.

      Skill in navigating different personality types among internal and external constituencies.

      Ability to function effectively as a team member and a willingness to participate in activities and assignments that help meet the goals of and objectives of the department.

      High level of proficiency with Microsoft Office, including Word and Excel, Adobe software, and MailChimp

      Experience working with a donor or membership database, preferably a Blackbaud product.

      Enthusiasm for visual art, education, and community engagement, with a commitment to integrity, kindness, discretion, and personal responsibility.
