Performs various administrative tasks for the CHVPS Division Director and leadership team which include answering phones, responding to emails, communicating messages, managing calendars, scheduling meetings, recording meeting notes and minutes, ordering supplies, coordinating travel, conducting logistical tracking and research, and maintaining various records and documents, including the division SharePoint site.
Serve as the first point of contact for internal and external clients on the Division Director's activities and events, independently handle sensitive communication/information flow, employee onboarding and offboarding, liaise between stakeholders, community, employee and management to ensure smooth operations.
Draft, edit and proofread high-level correspondence, reports, presentations and other documents for review, signature or action by the Division Director.
Create payment requests for department-related expenses ensuring timely expense reporting of requisitions/purchase orders in PeopleSoft/STARS enterprise resource planning system.
Creates and tracks Commissioners Court requests and approval documents.
- Other duties as assigned, including special tasks involved in responding to an emergency event.
High school diploma or equivalent
At least seven (7) years of experience supporting chief executive(s) or director-level management
Advanced user in MS Office Suite (Word, Excel, PowerPoint & Outlook)
Excellent communication skills (verbal & written)

Monday – Friday
May require working after hours and weekends to support CHVPS divisional outreach efforts.
May require periodic and long hours/overtime during emergencies/disasters.
This job operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The Executive Assistant provides support to the Director of Community Health and Violence Prevention Services (CHVPS), including handling all information requests, conducting general research, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Additionally, this position is critical to the day-to-day coordination, management of business operational activities, and continuous quality improvement.
